Job Summary


As a member of the Accounting team, support the accounting and compliance functions of the College. Prepare, review and post journal entries and reconcile accounts. Participate in monthly closing processes including postings and reconciliations for operating and capital activity. This position is responsible for all cash transactions and related accounting. Compile, record and monitor all money deposited for the College. Responsible for the classification and control of all cash receipts, including accounts receivable. Disburse, monitor and reconcile petty cash drawers. Maintain proficiency in Workday and support the Smith community in its use. Understand and enforce policies and procedures. Assist in the preparation of the quarterly financial reports, annual audited financial statements, management reports, and required filings. Participate in continual process change and improvement. Support other members of the Controller and Finance department as appropriate.

Essential Functions

Cash, Receivable & Operational Accounting (65%)

A member of the accounting team, this position supports the general ledger closing process and production of timely and accurate financial information.

Responsibilities include preparing and posting journal entries, accounting adjustments & campus chargebacks.

Review and process journal entries prepared by others.

Complete account reconciliations for assigned areas and post adjusting journal entries.

Support the account reconciliations of others.

Assist in the preparation of compliance and management reports and support the annual audit process.

Appropriately code and record ad hoc bank transactions.

Partner with the management of the student loan portfolio, Campus School, CECE, Executive Education, Five Colleges, off campus work study and direct benefit billings.

Post charges to accounts, prepare and issue invoices. Apply payments, create and analyze reports. Send notices to delinquent borrowers.

Support the procurement processes including: requisitions, purchase orders, p-cards and expense reports.

Research reconciling items and participate in the reconciliations of receivable and ledger accounts.

Respond to inquiries and research questions from stakeholders. Provide guidance and training to departments in the use of financial systems and with accounting matters.

Cash Administration (25%)

Serve as College Cashier.

Verify, post and reconcile all deposits and cash receipts from campus departments, students and other Smith community members. Process wires and returned transactions.

Create "cash sales" in Workday for transactions without an outstanding receivable. Review and approve cash sales created by other departments, reconciling to deposits.

Maintain and balance the institutional petty cash funds for campus retail operations & departments.

Plan and prepare cash and coin orders for campus retail operations.

Design and implement cash policies and procedures and ensure compliance.

Provide training to departments in cash control policies and procedures. Issue, replenish, monitor and reconcile all petty cash drawers on campus. Monitor receipts and balances returned from advances.

Other Functions

Other (10%)

Support the accounts payable process and participate in the OCR Initiative.

Assist the accounting, procurement, payroll and student employment teams in projects and processes as needed. Serve as backup for other team members.

Assist in the preparation, coordination, and implementation of accounting policies and processes, including but not limited to, developing and implementing cash control procedures.

Perform other duties as assigned.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Bachelor's degree with 3+ years of relevant experience or the equivalent combination of education and/or experience.

Experience working with individuals from diverse backgrounds.

Preferred Qualifications

Professional accounting certification preferred. Workday experience preferred.

Skills

Good judgment, pleasant telephone manner, dependability, attention to detail, strong organizational, interpersonal and communication skills; Demonstrated customer service experience in supporting users with accounting processes and systems. Deadline and detail oriented. Analytical approach to complicated reconciliation and data problems. Advanced MS Excel skill and proficiency with MS and Google suites and complex cloud-based financial systems. Ability to organize and prioritize work, take initiative, resolve problems, and manage multiple tasks. Capacity to work independently and part of a team. Experience with Workday and/or database queries and reports a plus.
