Primary Purpose of the Organizational Unit:

Description of Work Continued::

Primary Purpose of the Position:

This position is characterized by the performance of a variety of administrative, secretarial, and office support duties. It requires knowledge of the office or work unit policies and procedures in order to communicate information involving programs, functions, and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting students/visitors/clients/faculty/staff/others, mail distribution, and photocopying. The completion of work often involves a public contact role to obtain, clarify, or provide information regarding activities of the work unit or program. The position serves as the primary staff assistant to the department chair.

Minimum Education and Experience Requirements::

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Knowledge skills and abilities::

Communication-Verbal: Responds to inquiries related to the Department of Management and its policies and procedures. Serves as the main point of contact when visitors enter the Department and serves as the Departmental Secretary. Answers the Department’s main telephone line and responds to requests for information. Requires extensive contact with a broad range of clients, i.e., students, prospective students, faculty, staff, the public, and those interested in learning more about the department and Fayetteville State University. Position schedules appointments and responds to any questions regarding the Department’s programs, policies and procedures.Communication-Written: Ability to independently compose business e-mail, communications, letters, memos to students regarding departmental processes, enrollment into the program and deadlines. Prepares work orders after receiving requests via emails, phone or in person. Responds to e-mails and prepares written material to students and prospective students. Schedules appointments and responds to any questions verbally as well as in writing regarding the Department’s programs, policies and procedures.

Office Technology: Ability to utilize office equipment and other relevant technology (software, and systems) to meet work needs. Requires knowledge of various software applications, such as Microsoft Office Suite, Word, Excel, Outlook, etc. Requires the ability to utilize the Banner system to process invoices and purchase orders, to enter requisitions and process them in Banner. Maintains and updates the unit’s master calendar and website.

Work Coordination: Facilitates the support activities of the Department of Management and coordinates the flow of work throughout the Department by scheduling meetings and appointments, Processes incoming and outgoing mail, screens and routes clients to the appropriate staff and serves as the office coordinator

Information/Records Administration: Ability to apply knowledge of data collection and storage to compile, assimilate, and organize printed and electronic information. Ability to receive, record and compile records of all students, faculty, staff and clients of the Department of Management in the departmental files and database and creates reports as necessary regarding the program activities of the departmental units. Maintain files in an organized, easily retrievable and confidential manner
Budgeting: Plans and monitors the use of expenditures to meet organizational objectives and compliance; prepares budget documents and reports. Monitors and reconciles the budget for the department of Management and maintains a record of all financial transactions for each account. Position requires the ability to input budget and financial records of the department, enter requisitions and budget revisions into the Banner. Purchase and maintain the supplies, furniture and equipment inventory and places orders as necessary. Manage Printshop budget Accounts.

Communication: Demonstrate a polite, helpful, and courteous attitude to visitors, students, faculty members. Receive a high volume telephone contacts with the public. Promote a positive image of the department and provide assistance in a timely manner.Coordinate the scheduling of and serve as the host for meetings of the chair (for example: securing meeting places, typing and distributing handouts for meetings).Take departmental meeting minutes, among others.Coordinate travel plans and file expense reports for the chair and faculty members in a timely manner and utilize established and appropriate University procedures and guidelines.

Working at Fayetteville State University

Fayetteville State University (FSU) is a member of the prestigious University of North Carolina System. Situated in southeastern North Carolina, FSU prides itself in being in one of the most diverse cities in the country and neighbor to one of the nation’s largest military installations – Fort Bragg.

FSU has a rich history that serves as genesis for its current status as a leading institution of higher learning. A year after the Civil War ended, the Phillips School provided primary education to Fayetteville’s black citizens, and the Sumner School provided intermediate education for this population. The two schools were consolidated in 1869 and dedicated in April of that year as the Howard School, in honor of the Freedman’s Bureau chief General O.O. Howard. Seven prominent African-American men pooled $136 to purchase two lots for the first building that housed the Howard School. Robert Harris was named the first principal of the Howard School.

In 1877, the Howard School became not just the first public normal school for African Americans in North Carolina but also the first state-sponsored institution for the education of African-American teachers in the South. It was renamed the State Colored Normal School in Fayetteville that year, Fayetteville State Teachers College in 1939, Fayetteville State College in 1963, and Fayetteville State University in 1969.

While FSU’s roots are as a teacher education institution, it now offers nearly 70 degrees at the baccalaureate, masters and doctoral levels. Many of the programs are accredited by the top agencies. The university’s School of Business and Economics is endorsed by the Association to Advance Collegiate Schools of Business (AACSB). AACSB is one of the most prestigious and rigorous accrediting bodies for business programs in higher education. Currently, less than one-third of U.S. business programs and only 15% of the world's business programs have earned AACSB accreditation. Receipt of this distinguished accreditation provides evidence that FSU’s School of Business and Economics has established itself as a leader among business schools. Additionally, the Master of Business Administration program has been cited by U.S. News and World Report and The Princeton Review as one of the best graduate business school programs in the country. The Department of Criminal Justice is accredited by the Academy of Criminal Justice Sciences (ACJS). FSU’s criminal justice program is the only such program in North Carolina to hold ACJS certification.

FSU is rapidly becoming a center for research and technology. In spring 2010, the university, in conjunction with the University of North Carolina at Pembroke, cut the ribbon on the Southeastern North Carolina Regional Microanalytical and Imaging Center. The center is home to the electron microprobe, an advanced imaging tool that magnifies objects up to 300,000 times.

FSU is a partner in the community. The institution has formulated a strong relationship with the local municipality and with civic and social organizations in the area. The institution enjoys its partnership with its military neighbors. In the coming years, as a result of Base Realignment
