Essential Job Duties:The Search Services Coordinator provides logistical, technical, consultative, and event planning support to searches conducted by the department.
The coordinator position is a critical part of the search team and will be responsible for building and cultivating effective relationships with hiring departments, nominating committee members, interview participants, candidates, and other internal and external stakeholders. It will also be essential for the coordinator to demonstrate the appropriate business acumen in all communications and interactions by phone, text, email, and in person. Most importantly, in order for the coordinator to be successful they must have a strong attention to detail, high regard for accuracy, and passion for event planning.
The coordinator will serve as a primary point of contact for search committee inquiries and general logistical inquiries; lead event scheduling and planning efforts for a portfolio of searches; and champion processes and procedures that provide a highly regarded search experience for interviewers and interviewees. In addition, the coordinator will also be expected to lead strategic conversations in committee meetings and with stakeholders, vendors, or other pertinent parties to facilitate a successful search process.
Search logistics include but are not limited to scheduling meetings (in-person, virtual, and hybrid), securing meeting space and necessary arrangements (food, beverage, parking, travel, technical equipment, etc.), producing meeting materials, coordinating the execution of meetings, interviews, and other search related events, stewardship of search documents, managing search expenditures and reimbursements, and championing a search process that is in compliance with all relevant policies, procedures and regulations.
The coordinator must maintain a high level of confidentiality while balancing the needs for transparency. The role will also require someone to be proficient in understanding state and federal regulations, which may require coordination with the Office of General Counsel (OGC) and the Office for Institutional Equity and Diversity (OIED).
The activities and effectiveness of the Coordinate will directly affect the reputation and success of the department. There are typically multiple searches active at any given time so the coordination of activities is extremely complex. Due to the high level of searches that the unit conducts, the margin for errors in our work must be minimal.
