The College of Science & Engineering at St. Cloud State University is seeking applications from qualified candidates for an Office Services Supervisor position.  This position provides leadership and management of the College of Science and Engineering (COSE) administrative support staff (11 Office Administrative Specialists).  Provides leadership in planning and executing college-level support services across 9 departments, 5 college-wide programs and the COSE Dean’s Office; including control of workflow and development of unified office procedures.  Leads administrative and scheduling support within the COSE Dean’s office.

Works with and assists the Dean and Associate Dean, 9 department chairs, 5 Program Directors, Administrative Director, SRD, ELOD, student employees, 150+ faculty, 25 support staff.  Will also work with staff and partners in The Minnesota Institute of Technology and COSE Student Care and Success Center.

Responsibilities and Results:

  • Provide supervision of COSE Office Managers and student workers (45%)                                            
  • Plan, analyze, develop and evaluate administrative support services within COSE (15%)
  • Collaborate, support and provide back up for the administrative assistant to the Dean and Associate Dean of the College of Science & Engineering (15%)                  
  • Plan and oversee COSE departmental non-salary budgets.  Work with COSE Administrative Director and departmental Office Managers to build annual non-salary budgets, monitor budget performance, and evaluate overall COSE non-salary expenses for efficiency, accuracy and future planning/forecasting needs. (10%)
  • Participate in overseeing all college functions (e.g., faculty forums, commencement receptions, socials, celebrations, conference and workshops); assuring proper set-up of events and arrange for catering and entertainment so that events are advertised, catering is arranged and event is facilitated effectively, smoothly and in a professional manner. (5%)
  • Administer, interpret and clarify policies, procedures and various forms to the COSE community so that clientele are accurately informed and guidelines are followed. Serve as communication hub for office managers with other offices on campus to provide consistency and appropriate record keeping (5%)

Minimum Qualifications:

  • Experience in business, management, organizational development, or related area Ability to develop administrative and programmatic policies and procedures Ability to interpret complex laws, rules and policies. Accounting and budgeting skills sufficient to develop, manage, monitor and accurately administer a diverse mix of budgets. Ability to understand and effectively carry out complex oral and written instructions Ability to establish and maintain effective working relationships with administrative personnel and the general public Excellent organizational skills, oral and written communication, collegiality, and professionalism

Preferred Qualifications:

  • Experience in professional supervision of others
  • Bachelor’s degree in business, management, higher education, or related area
  • Demonstrated effectiveness regarding the functions, procedures, organization, governing laws and regulation of Minnstate, St. Cloud State University and COSE.
  • Thorough knowledge of the College of Science & Engineering’s stakeholders, responsibilities, goals and objectives.
