Job Description Summary
This position provides customer service for the Student Financial Services area. Student Financials processing and related duties including - in-depth analysis and resolving issues of student and third-party customer accounts, cashiering, invoicing, reconciling of financial aid and general ledger accounts, banking, journal entries, refunding, set up and use of eCommerce system, collections, and 1098T processing.

Job Description

ESSENTIAL JOB FUNCTIONS

1. Serve as an initial customer service contact for the Student Financial Services area. Provide technical assistance and information to student, parents, external organizations, and staff regarding financial aid, payment arrangements, past due balance impacts and school related information. Provide in-depth analysis of student or third-party organization accounts as requested by staff or the customer. Enforce federal and state regulations as well as College policies and procedures in accordance with the Family Education Rights and Privacy Act (FERPA).

2. Approve and process refunds on a daily basis. Contact students regarding uncashed refund checks for compliance with Federal Financial Aid rules.

3. Validate the general ledger related information from the Student Administration system into the Finance system via the general ledger interface process on a daily basis and verify for completeness. Review college banking detail daily for student finance related transactions. Create journal entries in Finance system as required. Ensure proper treatment of NSF payments (paper or electronic) made by students. Also, ensure proper treatment of returned electronic refunds. Notify students regarding invalid or insufficient account information and options to resolve.

4. Reconcile all student finance and financial aid related balance sheet accounts to the general ledger on a monthly basis. Order federal financial aid funds from federal portal in compliance of Dept of Education rules.

5. Reconcile bookstore activity and initiate payments to the College's bookstore partner for net student purchases from their student account and Inclusive Access.

6. Implement and maintain the functional aspect of the 3rd party eCommerce system. Keep abreast of regulatory changes impacting the eCommerce environment (NACHA Compliance) and functionality. Work closely with the eCommerce provider and IT staff to ensure proper operation of the system. Assist students with use of the eCommerce system.

7. Process student invoices on a semi-monthly basis, utilizing e-Commerce and core processing systems as appropriate.

8. Create external organization account and setup third party contracts within core processing system based on billing authorization from an external organization. Process State, Federal, and Military invoices monthly in accordance with the external organizations required online billing processes. Collaborate with other technical colleges in the information exchange relating to shared -program tuition payments. Monitor corporate balances and process corporate refunds and correspondence. Process corporate credit card payments.

9. Process Student Finance related billings: Student Assistance program and scholarship matching funds in conjunction with the Fox Valley Technical College Foundation, process student accident insurance billing.

10. Coordinate collection activity on past due student accounts: Send required correspondence to students, submit customers with past due balances to outside agencies for further collection efforts, maintain accounts between the Student Administration system and the outside agency, maintain bankruptcy records. Write-off accounts that are deemed uncollectible.

11. Cashier payments from various sources - bank EFT's, Financial Aid, Foundation Scholarships, Veterans related payments. Train Cashiering function to cashiers in other areas of the college. Ensure the proper recording of sales tax through the departmental receipting process.

12. Analyze and perform processes to ensure accuracy and compliance with IRS Form 1098T regulations.

SECONDARY JOB FUNCTIONS

1. Provide back-up to other Student Financial Services staff as needed.

2. Handle difficult and sensitive situations with customers on a daily basis.

3. Work with auditors as needed to ensure compliance with state and federal guidelines.

4. Assist with core system patch and fix testing; implementations

5. Assist with various projects as time permits.

Additional Information

QUALIFICATIONS, TRAINING, AND EXPERIENCE
  • Associate Degree in Accounting or related area, AND
  • Two years of related experience, OR
  • An equivalent combination of related education, training, and experience.
  • Intermediate skills in Microsoft Office is required.
