Job Description Summary
This position serves as the main staff lead for day to day Enrollment Services functions. This position is responsible for assisting the Registrar with functional support for Enrollment Services and providing Enrollment Services related data services to internal customers. This position is responsible for implementing system improvements and providing technical support to the business processes that impact Enrollment Services functions.

Work Schedule:

Monday through Friday; 7:30AM to 4:00PM

Job Description

ESSENTIAL JOB FUNCTIONS
  • Provide analytical support for Enrollment Services including the development and maintenance of queries and reports for Enrollment Services processes such as term activation, New Student Registration holds, and waitlisted students.
  • Organize, analyze, and interpret report data for internal and external customers.
  • Provide information to students, parents, staff, and general public in person, via telephone, US mail, and on-line using extensive knowledge of FERPA, College policy, State, and Federal regulations.
  • Conduct periodic assessments of regular Enrollment Services functions to ensure quality and assist the Registrar in determining workflow needs.
  • Research, recommend, and incorporate new uses of technology and other tools or system improvements to increase efficiency and quality related to student services.
  • Facilitate effective internal communication among regional centers and campuses to ensure consistent application of college policies.
  • Conduct periodic and regular internal audit assessments of standards across all locations.
  • Maintain numerous Enrollment Services queries, reports and processes from various information.
  • Contribute to and help develop initiatives and participate in team decision making.
  • Serves as the main Enrollment Services contact for testing of student records database patches/fixes and new upgrades.
  • Assist with cyclical processes that occur throughout the semester to include the prerequisite checking, enrollment appointment assignments and student registration.
  • Provide scheduling coordination for customer services coverage in Enrollment Services and the Welcome Center.
  • Serve as chair for the cross-functional student withdrawal and refund committee to include coordination of weekly meetings, organization of appropriate files and recommendations to division leadership based on student trends. Serve as a back up customer service for Enrollment Facilitators on a weekly basis.


SECONDARY JOB FUNCTIONS
  • Ability to handle difficult or sensitive situations with customers on a daily basis.
  • Assist with special projects as needed.
  • Assist with Open House, Welcome Days, New Student Registration and other Student Services activities.


QUALIFICATIONS, TRAINING, AND EXPERIENCE
  • Associate Degree in Administrative Assistant, Information Technology, or related field, AND
  • Two years of direct student services experience and customer service experience with focus on data application within enrollment services, AND
  • Advanced knowledge of SQL databases, MS Office Suite is required, AND
  • Advanced skills working with PeopleSoft Student Administration or other student information system is required, OR
  • An equivalent combination of related education, training, and experience.
  • Intermediate skills in Microsoft Word and Excel. Proficiency in PeopleSoft is preferred.

Additional Information

Starting Pay: $25.00 per hour. Note: Internal applicants' wage will be based upon the applicable compensation structure.
