Job Description Summary
This position performs a wide variety of support and technical duties to create, schedule and support various aspects of specialized training, seminars, host trainings, civilian training courses and Public Safety Training Center (PSTC) facility rental events. This position supports Business and Industry Contracting Services and Public Safety Division training efforts at the PSTC and ATW/ARFF Facility; including resource reservations, contract development and submission, billing while responding to customer questions and needs.

Work schedule: Monday through Friday, 7:30am - 4:00pm. Flexibility in schedule may be required.

Job Description

ESSENTIAL JOB FUNCTIONS
  • Assist with the coordination and facilitation of Public Safety training programs, technical assistance, & other related activities.
  • Compose project materials as directed, including curriculum, correspondence, reports, presentation materials and miscellaneous documents. Includes class sections, events/room scheduling and logistics; instructor coordination; training material production and delivery.
  • Serve as an on-site contact for PSTC Facility related events; such as Facility rentals, seminar offerings, civilian course offerings and hosted training events.
  • Assists Dean and Associate Dean in the annual budgeting process for PSTC law enforcement related equipment, supplies and other resources for the purposes of specialized training and facility usage.
  • Work cooperatively with the Division Academic Operations Specialist in utilizing 25-Live to schedule and set-up rooms for internal and external facility reservation requests. Generate and distribute facility usage reports for internal and external stakeholders.
  • Populate the ACADIS WIDOJ officer training portfolio upon completion of training programs and generate certificates for course completions when needed.
  • Coordinate special media set-ups with Media Services and assist public safety facilitators in the use of audio visual equipment when needed.
  • Coordinate the set-up of training rooms prior to class.
  • Create work orders for major and minor maintenance and repairs of equipment and facilities.
  • Market classes on WILENET, create and distribute marketing materials at the PSTC and amongst the members of the Public Safety Training Advisory Committee.
  • Prepare and invoice contracts for external customer facility usage and coordinate billing with Financial Services. Assist with Division revenue generations by collection of overdue invoices.
  • Use MyTraining to register participants in specialized public safety training.
  • Monitor the CJ Register email account and assist with online self-service accounts.
  • Managing and filing of electronic data for specialized training, to include developing, delivering and collecting contract training evaluations.
  • Process Adjunct time sheets; put up class sections and enter final grades on all Contracting courses.
  • Schedule, coordinate, prepare and distribute agenda materials for the Public Safety Training Advisory Committee meetings.
  • Record, transcribe and maintain files; along with ongoing communication.
  • Update and maintain the Training Advisory Committee Address List Database with new and existing members.
  • Assist with the development and implementation of ideas and projects related to communication efforts with our District Law Enforcement partners and members of the Training Advisory Committee Attend law-enforcement related training, meetings and conferences as needed to support partnership development Cross-train and provide back-up to other Support Specialists within the Division.


SECONDARY JOB FUNCTIONS
  • Serve as customer service back up to the B&I Account Manager and ARFF Program Instructor as needed; directing inquiries, answering the telephone, checking messages and responding to customer inquiries.
  • Maintain communication with Business and Industry Services (BIS) involving processes related to Public Safety Contracting. Other duties as assigned.



QUALIFICATIONS, TRAINING, AND EXPERIENCE
  • Associate Degree in Administrative Assistant or related field AND
  • Two years of recent, related work experience, OR,
  • An equivalent combination of related education, training and experience.
  • Advanced skills in Microsoft Word, Excel, PowerPoint and Teams.

Additional Information

Starting pay: $20.90 per hour.

Note: Internal applicants' wage will be based upon the applicable compensation structure.
