Job Description:

Pre-Award Administration

•Provides pre-award support which includes reviewing requests for proposal (RFP) and identifying the specific requirements and policies are met while ensuring the policies are within or consistent with those of UF; prepares accurate budgets for each proposal.

•Submits proposal submissions, including new research grant proposals, renewing and/or continuing grants and contracts.

•Provides technical assistance to PI’s in the development of proposals and submissions.

•Performs editorial review of language, grammar, punctuation and contract terms for all proposals.

•Reviews contracts to determine whether the activities should be sent through the Division of Sponsored Programs (DSP), Purchasing or the Health Science Center (HSC) Contracts Office and ensures that contracts are in place before services are performed.

Post-Award Administration

  • Analyzes expenses, develops cost projections and provides financial tracking and fiscal control to fulfill reporting requirements.
  • Monitor and maintainactivities for all projects, including the release and transfer of funds within the UFirst system.
  • Ensures expenditures and payments are appropriate and in accordance with agency and award stipulations and move to correct award if necessary.
  • Reconcile repoons in monthly basis and as needed.
  • Meet with Principal Investigators quarterly to review reconciliation reports, expenditures, and projections.
  • Keeps department master project list up to date.
  • Forecasts salary expenditures through the end of the budget period.
  • Responsible for effort reporting requirements on projects, including required cost sharing.
  • Reviews subcontract certifications sent from Contract and Grants (C&G) and obtains signatures.

Space Management and Reporting

•Completion of annual space allocation survey

•Meet with faculty to determine usage, occupancy and funding for each departmental space

•Tracks staff relocations throughout the year to determine allocation

Expected Salary:$21.84-$24.67 HourlyMinimum Requirements:

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications:

Knowledge
•Knowledgeable in accounting principles and cost accounting standards
•Knowledge of departmental, college, university, and agency policies and procedures applicable to contracts and grants

Skills
•Proficient in Microsoft Word and Microsoft Excel
•Proficient in Adobe Pro
•Strong communication skills, both oral and written
