Job Description
The University of Maryland School of Medicine - Office of Medical Education (OME) is seeking a candidate to fill an IT Applications Analyst or a Senior IT Applications Analyst position.  The ideal candidate should be a quick learner, an effective communicator, and have strong mathematical, analytical, and technical skills.   Strong excel skills are required.  Candidate should be able to efficiently multitask while simultaneously developing a solid understanding of how the medical school MD Program curriculum functions.  Position will be responsible for working with and providing enduser support to faculty, staff and students who are using designated software applications such as MedScope (SOM Homegrown LMS), MedHub Clinical Education Management system, Examsoft, NBME Exam Software, Aquifer Clinical Cases, T4 CMS, etc. for the MD Program curriculum.  Prior experience with some of these applications is preferred.  General duties include, working with course directors and course coordinators, posting & editing web resources, issue resolution, data collection, generating custom reports, analysis of data to identify trends and inconsistencies.  Knowledge and extensive experience with MS O-365 tools and applications is ideal.  Should possess excellent customer service and communication skills.  This position will be a part of the technology group of the office of medical education and will also be expected to interact daily with faculty and students.   More specifically this position will work directly with the Lead IT Application Analyst within the OME Technology group.  Much of the work responsibilities will be delegated to them by the Lead Analyst or the technology group supervisor, the Assistant Dean for UME Operations.  This is great opportunity for a mid-level individual who is looking for a career path that will challenge them and allow for professional growth and development.   Pre-Clerkship & Clinical Examination process management.
Serves as the secondary contact for the SOM - Office of Medical Education instance of Examsoft.  Works directly with the Vendor for configuration and feature enhancements, support /troubleshooting issues, and shares responsibility of software training needs of faculty, student, and staff.  Responsible for implementation of existing policies and their compliance.  May recommends, develop, and present new examination policies for approval by senior administration.  Meets with designated faculty (Course Directors & Section Heads) to provide individualized training and guidance related to exam question creation & performance, exam software functionality, exam delivery and security, exam scheduling, resource needs, as well as special accommodation needs.  Responsible for co-management and integrity of the collective test question banks of the pre-clinical curriculum in the Medical Doctor program of study.  This allows the SOM to ensure standardization is maintained.  Guides the course director and curriculum support personnel to insure successful implementation of exam delivery and submittal.  Monitors the examinations via the ExamSoft software and communicates the interpreted data, findings, and results to the Course Director.  Responsible for troubleshooting and offering a prompt resolution to examination related problems that may arise. Curriculum LMS Management (MedScope) & Curriculum Software Administration.
Responsible for quality assurance and compliance issues related to the content that is posted on Medscope for all Medical Student Program courses.  Works directly with OME academic services specialists assigned to the pre-clinical courses who are responsible for posting course materials to the lecture schedule.  Curriculum Support Services personnel are also expected to post recorded lectures as well.   This position would also be responsible for providing regular training and guidance to clinical year course coordinators (clerkships, sub-I’s, & electives) related to the MedHub application platform.  This is necessary to ensure continuity of services to the students among each of the clinical courses. This position assures that materials are properly posted and assigned tasks are completed in a timely manner.  This position is responsible for helping to create and deliver training/training materials to MedScope and MedHub users (students, faculty, and staff) as needed.  Training may be performed in individualized, or group session depending on need or created to be delivered asynchronously.  
Data tracking, analysis, and reporting generation (CQI).
Continuous quality improvement (CQI) plays a vital role in the Office of Medical Education.  Decisions are made and are driven by data. This position will be expected to regularly monitor data acquired from the various sources.  This data will need to be pulled together at times using applications such as MS Excel or other data tools to allow custom reports to be generated and to analyze to identify possible trends that may require further action by upper management.  Verification of grade computations, GPA, and class rank calculations are a few examples of quality checks that need to be performed regularly.  Custom reports are often requested by senior administration and Course directors to better assist them with course related decisions.

  • The Application Analyst supports aspects of the application development and application analysis for applications that support administrative or operational functions of the UMSOM MD program within the Office of Medical Education.  Resolves issues and significant matters on behalf of management by utilizing independent judgment, discretion, creativity, and analytical thinking. Contributes to development and evaluation of goals and objectives. Creates solutions to ensure legal and policy compliance. May independently manage or administer programs, processes, projects, or resources.
  • Applies entry level knowledge, concepts, principles, and skills. Decision making occurs within defined parameters. Supervisor defines assignments, expectations, and deadlines. Supervisor may review work for quality. Demonstrates initiative and discretion to resolve routine and non-routine matters.
  • Assist in identifying and resolving issues and risks respective to the development and implementation of the code aligning with the designs assigned using pre-established instruction and guidelines, escalating as necessary.
  • Propose workable solutions and processes per assigned area of application and/or requirements.
  • Uses pre-established instruction and guidelines to provide technical design and configuration against documented requirements for the application(s).
  • Execute appropriate unit and integration testing for upgrades and implementation cycles as defined.
  • Provide information for documentation of customizations and upgrades and assist in the successful implementation of software upgrades. Develop and maintain records of basic customization and upgrade documentation.
  • Coordinate data feeds with central campus systems. Serve as the resource between the campus and the vendor. Communicate any issues with the vendor to include customization needs, security issues and program bugs to the vendor.
  • Complete application data input and output into the software to ensure all department reporting needs are met in a timely fashion.
  • Performs other duties as assigned.

Primary Duties – Senior IT Application Analyst:
The Senior Application Analyst manages all aspects of the application development and analysis of the process for those applications to support administrative or operational functions of the UMSOM MD program within the Office of Medical Education.
Primary Duties:
  • Assign and is accountable for workable solutions and processes per assigned area of application and/or requirements.
  • Designs and configures technical changes against documented requirements for the application(s) and establishes guidelines. Ensures standardization of design is maintained.
  • Documents all customizations and upgrades and coordinates the successful implementation of software upgrades. Serves as first responder to user inquiries. Develop and maintain documentation of all customization and upgrades.
  • Coordinate’s data feeds with central campus offices. Serve as the liaison between the campus and the vendor. Communicate any issues with the vendor to include customization needs, security issues and program bugs to the vendor.
  • Assess the current practices to ensure the software system supports the efficient process of the department.
  • Designs and develops new business processes by applying knowledge of application in conjunction with understanding of department specific needs.
  • Performs other duties as assigned.

Education: Bachelors in Information Technology, Computer Science, Systems Administration, Computer Engineering, Business Administration, Business Management or a related field.
Experience: Two (2) years in functional area that requires the use and support of specified applications.
