Student Life and Campus Community has an opening for a full-time University Staff (unclassified) Student Service Coordinator (Sentry Coordinator) position.

Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning, and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Professionals at the entry level are responsible for exercising discretion, analytical skill, personal accountability, and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying, and sharing knowledge directly related to a professional field.

At the entry level, duties are limited in scope and are performed with guidance and direction from other professionals and are performed in a training and development capacity.

Nature of Work:
The Student Life and Campus Community office provides leadership, support and oversight of: Student Organizations, The Sentry Newspaper, Sorority & Fraternity Life, Leadership Programs, the Student Government Association and Community Engagement. The coordinator also plays an active role on the Student Life & Campus Community team. This includes supporting large-scale collaborative initiatives, working with, and supporting peer events, participating in departmental planning, staff training and development, budgeting, and assessment efforts. This position interacts directly with students, faculty, associate deans, directors, and staff within the university and externally with community partners, employers, alumni, and other professionals.

Reporting to the Assistant Director of Student Organizations in Student Life and Campus Community, the Coordinator (Sentry Newspaper) is a vital team member responsible for supporting the business services functions of the CU Denver student newspaper.

Supervision Exercised:
  • Directly supervises 8 student staff members of The Sentry Editorial Team
  • Supports up to 32 student additional staff (writers, photographers, and illustrators) employed by The Sentry Newspaper

Supervision Received: Assistant Director of Student Organizations

Examples of Work Performed:
  • Advertising sales for the Sentry newspaper including working with Sentry student staff and clients to design and place advertisements.
  • Manage the Sentry office including creating a diverse and inclusive office environment and advising students on resources and processes.
  • Human resource functions related to hiring approximately 100 Student Life and Campus Community student staff employees each year.
  • Supporting training, programming planning, and execution needs of the Student Organization program.

Office Management (40%):
  • Supervise the eight editorial student staff members and support other staff members (writers, photographers, and illustrators) as needed.
  • Overall management of CU Denver Sentry office operations and logistics to enable the department staff to complete their tasks in a timely and efficient manner.
  • Manage all operations of CU Denver Sentry including greeting and assisting office visitors, referring to other areas of campus as necessary, scheduling appointments for members, and fielding a variety of questions/concerns
  • Compile and analyze assessment data for office events and programs including readership rates and student usage
  • Assist in the development and implementation of the office mission and goals.
  • Develops good working relationships with academic faculty/staff and department heads.
  • Determines the correct forms and steps necessary to accurately complete projects.
  • Handle/maintain/develop routine correspondence and materials, sensitive and confidential employee information, and employee personnel files. Applies knowledge of university and state regulations for records retention.
  • Provide assistance and support to members CU Denver Sentry and Student Life staff team.
  • Co-manage CU Denver Sentry webpage and social media presence.
  • Marketing and Communication: Work on Print, Video and Web Coordination as dictated by Student Life needs.
  • Perform other miscellaneous job-related duties as assigned.

Supporting the CU Denver Sentry & Student Life (20%):
  • Attend all pitch nights (traditionally Thursday) and serve as staff advising capacity.
  • Attend production nights to ensure production happens efficiently and effectively.
  • Attend weekly editorial staff meetings to provide update on data collected and advertising revenue.
  • Support CU Denver Sentry and Student Life (Planning, Marketing, Budget, Facilitation, Contracts and Evaluation) including but not limited to the following events:
    • Tabling events
    • Milo Awards (annual student banquet)
    • Welcome Week/CU Prep Week
    • Spirit Thursdays
    • Fall Fest/Spring Fling
    • Collaborative Events with faculty
    • New Student Orientation
  • This can include assisting on nights and weekends as needed

Advertising and Marketing (20%):
  • Locate and contact potential clients to offer advertising services.
  • Explain to clients how specific types of advertising will help promote their products or services in the most effective way possible.
  • Provide clients with estimates of the costs of advertising products or services.
  • Process all correspondence and paperwork related to accounts.
  • Inform clients of available options for advertising art, formats, or features and provide samples.
  • Deliver advertising or illustration proofs to clients for approval when necessary.
  • Prepare promotional plans, sales literature, media kits, and sales contracts.
  • Recommend appropriate sizes and formats for advertising.
  • Recruit clients to participate in the University Key student discount program and related website.

Human Resources Support (15%):
  • Provide comprehensive oversight for recruitment, hiring, offer letters, and on-boarding for CU Denver Sentry and Student Life student staff (Student Government Association, Student Involvement Ambassadors, Student Organization, etc).
  • Coordinate Student Life Student Staff Hiring Days and off-cycle hiring events as needed).
  • Help coordinate student staff and graduate assistant training and professional development throughout the year.
  • Effectively handles sensitive and confidential issues on behalf of Student Life with timeliness, discretion, professionalism, and consideration of the perspective of Student Life.
  • Process and approve monthly timecards for Sentry staff.
  • Responsible for the creating and processing of new positions and requisitions in HCM.

Procurement (5%):
  • Provide oversight and management of procurement including travel card, procurement card, purchase orders and associated budget management (speed type audits/reports, allowable expenditures, etc.) for CU Denver Sentry and assist with Student Life as needed.
  • Manage purchasing for CU Denver Sentry including supplies, equipment, subscriptions, and processes documents in order to establish contracts for vendors for services. Places orders and oversees the supply-purchasing process, seeking input and authorization for advanced or critical decisions.
  • Coordination of workflow processes and audits of such in order to maintain maximum efficiency.
  • Maintain budgetary related records in accordance with University standards.
  • Support Student Life in other financial duties including cash handling, deposits, billing, accounts payable, and account management.

Additional Responsibilities may include:
  • Assist with other departmental sponsored events and activities throughout the year
  • Communication and collaboration with CU Denver students, faculty and staff.
  • Communication and collaboration with the Metropolitan State University of Denver and Community College of Denver Office student media
  • Serve in other areas as directed by the Director of Student Life.
  • Combination of day and evening hours with some occasional weekend work.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Salary and Benefits:
The hiring range for this position has been established at $48,410.

The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is eligible for overtime compensation.

Qualifications
Minimum Qualifications:
  • Bachelor's degree from an accredited college or university in Business Administration, Computer Information Systems, Marketing, Communication, Management, Communications, or another related field. Substitution: A combination of education and related experience may be substituted for the bachelor's degree on a year for year basis

Applicants must meet minimum qualifications at the time of hire.

Condition of Employment:
Must be willing and able to work some nights and evenings (i.e.: Sentry staff meeting and Pitch Night) throughout the academic year to support the production of the newspaper and Student Life and Campus Community events.

Preferred Qualifications:
  • One year of experience in office administration/coordination, with responsibilities in areas that include but are not limited to information technology, assessment, management, communications, event management, and working with upper-level administrators and manager.
  • Experience in event planning support and coordination.
  • Experience in a university or academic environment.
  • 3-5 years of office administration experience.
  • Experience in advertising sales or similar business processes.
  • Experience with supervising college student employees.
  • Experience working with senior-level academic administrators and faculty.
  • Experience with content management of websites.

Competencies/Knowledge, Skills, and Abilities:
  • Computer proficiency in MS Office applications, particularly with Microsoft Word, Access, and Excel. Experience working with websites. Familiarity with graphics programs.
  • Proven ability to coordinate multiple activities, establish priorities, attend to detail, handle interruptions, manage time and follow up.
  • Positive attitude, high energy and excellent organization skills that foster an intuitive and friendly environment.
