Department of Psychiatry has an opening for a full-time University Staff (unclassified) Faculty Affairs Coordinator position. This position will assist the Faculty Affairs Manager with faculty credentialing, promotions, and midcourse process.

Jobs in this career family provide direct professional support for the teaching and/or educational service mission of the university. Functions include academic advising/counseling, student personnel administration, recruitment and admissions, registration, financial aid, faculty affairs, library services, curriculum administration, and others involving direct support of the educational mission of an academic unit.

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.

Nature of the Work:

Provide Program Coordination for the Faculty Affairs office. Faculty Affairs is responsible for management of promotions, appointments, and faculty databases (e.g., OnBase, Salesforce, Smartsheet, FIMS).

Duties and Responsibilities:

Duties Performed at All Levels:
    Credentialing and Privileging Process Coordinate faculty credentialing and privileging at UCHealth and CHCO, including UCH Payor Source Credentialing. Coordinate CUMed Salesforce credentialing and Site of Practice efforts. Keep department documentation up to date throughout the process including smartsheets, employee files and OnBase.
Midcourse Reviews Dossier Coordination Tracks and communicates with faculty, coordinate use of Interfolio and completion of dossier. Arrange meetings and coordinate with faculty reviewers. Take minutes and track progress and communication of midcourse process. Promotion Dossier Coordination Tracks and communicates with faculty, coordinate use of Interfolio and completion of dossier. Arrange meetings and coordinate with faculty reviewers. Take minutes and track progress and communication of promotion process.
Other Duties:
    Assist Faculty Affairs Manager and Vice Chair of Faculty Affairs in mentoring process, to include coordination of meeting times and seminars, preparation of materials, and communication with faculty prior to hire and throughout life of appointment. Assist Faculty Affairs Manager with management of Adjoint, Adjunct, and Volunteer faculty, including maintenance of databases. Assist with implementation and creation of centralized and standardized structures for faculty support, PRiSM, and promotions.

Communication:
    Promotes active listening with team members; effectively communicates with internal and external clients/co-workers; accurately prepares documents in a manner demonstrating a professional communication style. Takes input from the supervisor and prioritizes multiple tasks effectively.

Additional Duties Performed at Intermediate Level:

Decision Making:
    Understands expectations that are set and recognizes when issues/events may affect delivery. Improves upon existing approaches by seeking opportunities to creatively transform current practices into fresh alternative solutions. Manages, meets and enforces deadlines and schedules. Takes the lead on faculty affairs process updates related to essential data collection.

Minimum Qualifications:

Academic Services Entry Professional:
  • A bachelor's degree (preferred in communications, business administration, business, or a directly related field from an accredited institution) Substitution: A combination of education and related high level/senior administrative and management prior experience within a complex educational organization.

Academic Services Intermediate Professional:
  • A bachelor's degree (preferred in communications, business administration, business, or a directly related field from an accredited institution)
  • One year of related experience
  • Substitution: A combination of education and related high level/senior administrative and management prior experience within a complex educational organization.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:
  • Previous experience with University of Colorado systems including HCM, Interfolio, Smartsheets, PRiSM, OnBase.
  • Previous experience coordinating diverse groups of faculty and staff.
  • Proficiency in Microsoft Office (Word, Outlook, PowerPoint, and Excel) including the ability to perform moderately complex formatting of Word documents and basic analytic functions in Excel

    Must be able to work independently. Strong and effective communication and writing skills, and a proven record of forming collaborative and effective working relationships. Ability to efficiently organize, multi-task, and prioritize duties and tasks. Ability to multi-task and maintain consistent high-level performance. Manages and enforces deadlines and schedules. Demonstrated ability to work effectively and harmoniously with supervisors, co-workers and various stakeholders Demonstrate commitment and ability to advance diversity and inclusion.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at:
  • Entry Professional = $41,396 - $52,656
  • Intermediate Professional = $45,049 - $57,302

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
