Nature of Work:

The University of Colorado Anschutz Medical Campus is currently seeking applications for a Grants Specialist for the Department of Otolaryngology – Head & Neck Surgery. This full-time, University Staff position is responsible for executing research-related tasks and will assist with grant management, inventory, procurement, and laboratory support for the Department. This is a critical role within a department that has approximately 100 FTE and a total annual budget of $25 million.

This position will be a hybrid position with at least 2 days per week in the office and up to 3 days remote.

Examples of Duties Performed:

All Levels:

Pre-Award
    As needed, liaise with research faculty and the Pre-Award Shared Services (PASS) on proposal development, budgets, RPPR/progress reports, amendments, Just-in-times (JIT), and routings Work with research and clinical faculty to complete Conflict of Interest (COI) disclosures in timely manor Assist PIs with eRA Commons account

Post-Award
    Review notice of grant award/contract award with PI making note of any special terms and conditions Work with OGC Award set-ups to accurately set up the awarded budget Confirm budget is set up correctly in finance system according to the award document Request creation of new account numbers appropriate to funding source and activity Monitor and follow-up on expiring grants and contracts to ensure renewals/amendments are in place or pre-award accounts are established in time to prevent salaries from hitting the finance suspense account Analyzes and evaluates awarded proposals and contracts, which may include subcontracts, for compliance with funding agency, federal, state, and university requirements. Prepares documentation for the Office of Grants and Contracts (OGC) to draft subcontracts; monitors contract execution, account set-up, invoicing and compliance Create standing purchase orders for outgoing subcontracts Process subcontract amendments Facilitate and track the submission of payment of invoices for subcontracts in a timely manner Work directly with subcontractor, PI, and OGC Post-Award to resolve issues Notify PI of contractual issues and potential problems Coordinate incoming contracts, work with subcontract institution, PI, and OGC to resolve issues. Reconcile grant, AEF and gift accounts on a monthly basis. Review transactions for appropriateness Monitor billing and accounts receivable Monitor budget and cash balances Provide monthly financial reports and projections to PI's and the Research Program Director on all sponsored programs and start-up accounts Meets regularly with PIs to review budgets, discuss accuracy of expenditures, and implements changes as required Maintain department sponsored research projects speedtype list Complete all applicable forms and requests to sponsor and OGC Serve as liaison with OGC, sponsors, and PI's Process grant account close-outs Other duties as assigned by the Research Program Director

Intermediate Level:
    Create various ad hoc grants, contracts and clinical research financial reports Assist PIs with questions and issues related to allowable and allocable expenditures on grant funds; provides guidance to departmental staff as necessary As needed, re-budget awarded grants As needed, will serve as backup to Finance Coordinator for Journal Entries, Funding Distributions, and or Payroll and Expense Transfers Instruct and train department faculty and staff on general processes, procedures, and policies regarding extramural funding and sponsored research projects Provide working knowledge of OMB Uniform Guidance

Minimum Qualifications:

Entry Level:
    A bachelor's degree from an accredited institution

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Intermediate Level
    A bachelor's degree from an accredited institution 1 year of professional level experience in a budget, grants management, or research administration role

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualifications:
    At least two years of professional experience in a budget, grants management, or research administration role Experience working in an academic, medical, or research institution Experience managing federal-funded grants

Competencies:
    Must be very detailed-oriented and have strong quantitative skills Intermediate-level skills in Microsoft Excel Strong written and verbal communication skills Effective interpersonal skills and ability to maintain positive working relationships Ability to problem solve and use critical thinking skills to resolve complex financial issues Strong time management and organizational skills Self-motivated and able to work independently Ability to establish work priorities and provide follow through to ensure completion

Salary and Benefits:

The salary range (or hiring range) for this position has been established at:
    Entry Level - $44,100 to $56,096 Intermediate Level - $47,992 to $61,045

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
