Facilities Operations Coordinator - 23849 University Staff
Description
In coordination with the Manager of Facility Operations and Auxiliary Shared Services, the Program Coordinator of Facility Operations provides leadership, development, evaluation, and expertise in facility management and maintenance of the day-to-day operations for the University of Colorado Colorado Springs (UCCS) Campus Recreation Department. These operations include staffing, enforcement of departmental and University policies & standards, creating an inclusive environment, appropriately managing patron conflicts, facility risk management, and coordination of space between informal recreation and reserved events. Typical work day is 8 AM to 5 PM M-F with required work on occasional weekends managing events throughout the year. Serves as a primary responder regarding facility issues during early mornings, evenings, and weekends as necessary. No vacation permitted the week prior to and first week of each fall and spring semester.

Job Duties:
Program Area Management:
Manage and maintain all department facility use schedules and calendars including periodic review and updating of facility reservation procedures, rules, processes, logistics, and fee schedules
Manage access to Campus Recreation facilities for internal and external groups including Conference and Events Services, Intercollegiate Athletics, ROTC, Health Sciences, Sports Management, Family Development Center, Admissions, and additional groups to create cooperative scheduling procedures and accommodations
Coordinate facility set up process by communicating with user groups to ensure proper layout and set up of spaces
Ensure pre and post event quality condition of equipment and supplies, and event cleanup
Distribute facility use satisfaction surveys to inform necessary change
Assist program areas with logistics to best facilitate programming and activities through space allocation, set-ups, and signage
Oversee daily operations of the Gallogly Recreation and Wellness Center fitness center; conduct inspections and risk management assessments, develop and implement sanitary cleaning systems, and oversee maintenance and repair needs in coordination with auxiliary shared services
Manage the inventory and use of informal recreation supplies
Coordinate with UCCS Facilities and Outdoor Services on outdoor athletic field turf management programs and systems as it relates to Alpine Field
Serve as a department liaison to campus staff, faculty, students, facilities, risk management, contractors, and key community stakeholders for the development of an integrated and sustainable campus trails system
Serve as the lead ex-officio department member of the Recreational Trails Advisory Committee assisting with meeting organization, planning, agendas, and related support materials
Assist in the management of trail planning, design, and construction processes in accordance with the Recreational Trails Micro Master Plan
Administrative Duties:
Coordinate department facilities tour requests
Assist with the management of a variety of systems including security cameras, lightning detection, Fusion/University scheduling software, lighting controls, and PA system
Manage iPad/tablet and 2-way radio training, maintenance, and distribution for department
Responsible for data collection and reporting of assigned areas
Interface with local and regional land managers to coordinate trails and open space connections and planning efforts
Maintain a current GPS database of all trail maps, trails use (counts) and maintenance log
Maintain, inventory, and purchase tools and materials for trails projects
Identify, procure, and coordinate the installation of educational, directional, and interpretive trails system signage
Attend professional development conferences, workshops, seminars, and advocate for professional development throughout the department
Participate in the development of ideas and suggestions for program, facility, and service improvements
Position is required to attend Campus Recreation classes and/or programs and use various facilities and equipment periodically to ensure that they are meeting or exceeding department and industry standards and risk management guidelines
Personnel Management and Student Development:
Lead fitness center monitors in training and education on how to properly utilize all fitness center equipment and associated engagement with student and community users
Lead trails maintenance monitors in training and education on how to properly utilize all trails maintenance tools and equipment and associated engagement with trail users
Develop work plans and schedules in accordance with established unit, program objectives and funding limitations
Complete annual evaluations, training, and appropriate coaching sessions throughout evaluation period for employees supervised
Utilizing learning outcomes and a growth mindset approach
Prepare, review, and submit hiring documents and manage proper payroll records and procedures
Fiscal and Resource Management:
Track use of cardio and strength equipment and make recommendations for department equipment replacement plan
Support Manager of Facility Operations in facility operations budgeting process by providing data on equipment use, payroll schedules, and supply needs
Identify and establish future trail project priorities based on trail conditions, campus needs, and budget resources
Identify and seek grants to further develop campus trail system
Assist in trails system budget development and manage a $50,000+ trails system budget
Coordinate contracted facility operations services and supplies with Auxiliary Shared Services
Facility and Risk Management:
Serve on the department risk management committee and present facility operations training content and risk management tabletop discussions during professional staff and student employee development conferences/trainings/meetings
Assist in the training, updates, and evaluation of the department Emergency Action Plan (EAP) as it relates to facility operations
Initiate facility maintenance work orders with Auxiliary Shared Services; monitor and track work and billing of associated work orders
Manage fitness center cardio and strength equipment preventative maintenance plans and inspections
Collaborate with Sports and Youth Program staff members on decisions related to healthy and safe playing conditions at outdoor recreation facilities
Inspect trails system and identify areas in need of work, improvement, closure, restoration, or rerouting
Promotions and Marketing:
Coordinate with Manager of Membership & Communications on the promotion and marketing of informal recreation affinity groups
Administer and communicate available trails system educational, interpretive, practicum, and volunteer opportunities to the UCCS and greater community
Recommend marketing and promotional campaigns and media forums to advertise facility operations-based programs, services, and special events
Other Duties:
Collaborate and assist with other divisional and departmental planning, policy development, implementation, evaluation, and special events as assigned
Serve on assigned departmental and University committees
Perform other duties as assigned that support the mission, vision and core values of Campus Recreation and the Division of Student Affairs

Salary Range: Generally starting at $45,485 - $52,087

Qualifications
Minimum Requirements:
Bachelor's degree in a field appropriate to the area of assignment AND 3 years of demonstrated experience in recreation facility operations/management; OR, 2 years of post-secondary education, vocational degree, or formal training, and a minimum of 5 years of demonstrated experience in recreation facility operations/management
2 years of experience in recreation facility management of large, high traffic environments (120,000+ annual visitations)
Demonstrated experience in maintaining outdoor recreational spaces, including but not limited to trails, recreation fields, and hard surface multi-use courts
Current CPR/AED/First Aid certification or ability to obtain certification within 3 months of start date
Preferred Qualifications::
5+ years of facilities operations experience in Recreation and Parks
Professional Trail Builders Association experience/certifications
Instructor Trainer for First Aid, CPR, AED
Synthetic Turf Management Professional Learning Unit
Facilities Management Certificate
