Departmental Overview

At the Herbert Wertheim School of Optometry & Vision Science at the University of California, Berkeley, we have long lived by defining principles that guide us and differentiate us. Our O.D. program is a 4-year program with clinical training provided at 2 campus clinics, 10 satellite clinics (community care), 7 VA clinics, and 24 external clinics across the country. Our one-year post-graduate residency programs provide advanced clinical education in specialty areas of optometry to 18 residents with placement on and off campus, and our Vision Science program consists of 40 PhD students.

Responsibilities

Vision Science & Residency Student Support/Program Management (35%)
    Provides support to the Vision Science Graduate Program Faculty Chair & Director of Residency. Assist Faculty Chair in sending lab rotations and conducting evaluation(s). Create, provide and implement services to students enrolled in the Vision Science and Residency programs throughout their PhD. Process invoices, awards, expenses, stipends. Researches, creates appointment letters, assists with on-boarding and databases. Maintain and administer funding for the Vision Science departmental budget in conjunction with Assistant Dean of Admissions & Student Affairs. Learn, Assist and Implement the National Institutes of Health (NIH) Grant in conjunction with the Associate Dean of Academic Affairs & Graduate Finance Specialist. Build a strong relationship with campus partners, including but not limited to Graduate Division, Financial Aid, Basic Needs Center, Path to Care, etc. Works with the Director of Communications, Assistant Dean of Development & Alumni Relations, faculty, staff, and university communications to inform students on upcoming events and resources throughout campus that are specifically available to graduate students. May supervise staff.

Events (25%)
    Plan, design, and provide workshops for students, such as information about the campus or academic strategies and enrichment programs. Assist with prospective student webinars and plan, implement and assess Admit/Visit Day. Advise/Assist student groups on their event planning. Assist in planning and implementing ASAO large scale events, such as White Coat Ceremony and Graduation (as needed).

Advising, Academic Progress, and Financial Aid (20%)
    Possess in-depth knowledge of program admission requirement(s). Advises students on registration & scheduling, resolves student services-related issues. Support students in achieving developmental and programmatic milestones, including processing appropriate paperwork (e.g. QE Committee, Dissertation Committee, Defense, etc.). Ensure students are kept up to date on important policies, policy changes, and deadlines. Is familiar and can articulate department and university policies and procedures, reviews students' progress, advises students and reports to faculty on requirements for degree completion. Works with the department to recommend changes to policies, practices, and procedures. Celebrate student success(es) and assist them in overcoming obstacles to personal and programmatic success. Assists in room scheduling, website updating and designing, class scheduling, and maintaining listservs. Ensure students' progress through course sequence, avoiding conflicts, and ensuring compliance with campus wide policies. Ensure students are enrolled in proper units. Identifies students with progression problems and refers to the Faculty Chair or Head Graduate Advisor. Registers student milestones, committees, etc. through Student Information Systems. Networks with central offices on campus to provide students with greater access to information and resources. Manages respective student databases: optometry, vision science, residency. Informs students about campus and national conferences of interest. Assists the VS Faculty Chair in assigning advisors and GSI assignments to students. Be knowledgeable about various form(s) of financial aid, including those specific to the PhD in Vision Science (fellowships).

Diversity and Inclusion (5%)
    In collaboration with upper administration and Director of Diversity, Inclusion, Equity, and Belonging and Assistant Director of Admissions, create a diversity recruitment plan for VS students. Assist in developing and implementing a holistic admission ethos to student admission. Serve as a member of the DEI&B committee. Attend workshops and conferences focused on Diversity and Inclusion in Higher Education.

Office Management (5%)
    Plan and implement major and highly visible Vision Science & residency programs, including Orientation, retreat, BAVRD, symposium, graduation, etc. Assists with front desk duties, including advising and recruitment of potential applicants (from OD, Vision Science, and Residency Programs). Support the AD of Student Affairs in training and serve as the back up to supervisor of office student workers. Support the AD of Admissions during application cycle, including training committee members, assisting in admission review and process, communication plans, and fellowship selection.

Professional Development (5%)
    Takes classes/workshops that will enhance expertise in professional areas of interest and growth and will enhance current work environment. Participate in university service activities.

Required Qualifications
    Ability to multitask in a fast­-paced department, work under multiple deadlines, and have the ability to prioritize workflow in a logical/liner manner to meet strict and important deadlines. Strong attention to detail. Outstanding communication skills, including written, oral, one on one and group. Ability to work with and communicate with faculty. Excellent customer service skills and interpersonal skills, multicultural competencies; ability to work with diverse populations. Knowledge of and/or ability to learn University­ specific computer application programs and proficiency with SIS applications. Proficiency with and/or ability to learn Windows applications, Adobe, bConnected and FileMaker Pro. Ability to use tact and diplomacy. Skills in judgment and decision­-making, problem solving, identifying measures of system performance and the actions to improve performance. Ability in problem identification, reasoning. Ability to develop original ideas to solve problems and not deterred by ambiguity. Ability to be resourceful, creative, innovative, and flexible. Excellent active listening skills. Ability to give and receive objective behavioral feedback. Able to lift up to 15lbs. Some evening and weekend work required. Some overnight travel may be required.

Education:
    Bachelors degree required and/or equivalent training or experience.

Preferred Qualifications
    Experience working in Higher Education preferred and/or equivalent training or experience. Experience working in a professional school setting preferred and/or equivalent training or experience.

Salary & Benefits
    This is a full-time (40 hours/week), career position, and eligible for full UC benefits. This is an exempt, monthly paid position. The annual salary is commensurate with experience within the range of $64,000.00 - $75,000.00.
