Overview

The Finance Assistant/Office Support position provides assistance and backup to the Business Manager in the Department of English.

 

Responsibilities include a broad range of financial services, and requires knowledge of Princeton University policies, processes, and financial guidelines. The main focus lies in assisting faculty using the Concur system, including review of expense reports to determine if they confirm to university policy, approval and checking of expenses amounts against available balances in faculty accounts, and acting as a delegate for faculty within the Concur system.

 

Other duties include initiating payments, including invoices, Independent Contractor and other one-off payments, processing reimbursements, assisting in preparing financial data (including journal entry), organizing and collecting data, monitoring spending, ensuring adherence and compliance to policies, assisting with financial reports, monitoring research accounts, submitting honorarium requests and other general office assistance as required.

 

 

NOTE:  This is a part-time (66%/11 month) position.  6 hours per day for 4 days per week with Wednesday's off.  To complete the 11 month schedule, the month of January is off.

Responsibilities
  • Assist 35 faculty in using the Concur system, including:
    • review of submitted expenses to determine if they confirm to university policy
    • approve and check expenses amounts against available balances in accounts
    • assist with reporting and budgeting of research funds and complying with travel and expense policy
  • Assist with preparing financial reports
  • Journal entry as directed by Business Manager
  • Review and prepare travel vouchers, invoices, and other payments
  • Prepare and submit honorarium requests
  • Assist with expenses and reimbursements for graduate colloquium
  • Submit requests to Supplier Management System to onboard vendors for payment
  • General office assistance as required:
    • mail
    • ordering desk copies
    • ordering supplies
Qualifications
  • Bachelors degree preferred
  • 1-3 years experience
  • Prior experience of working in a financial customer support environment.
  • Ability to work independently with minimal supervision and as part of a team
  • Good interpersonal skills and ability to communicate effectively with a broad range of people
  • Excellent organization skills, including the ability to set priorities and juggle competing demands
  • Tact, excellent judgment and the ability to maintain confidentiality when handling sensitive situations and information
  • Attention to detail and accuracy
  • Excellent computer skills, especially EXCEL
