Job Description:


Title: Enrollment Data Coordinator


Unit: MCCC Professional Staff


Department: Registrar's Office


Reports To: Registrar

General Summary: The Enrollment Data Coordinator, reporting to the Registrar, will be responsible for coordinating all aspects of the National Student Clearinghouse. The Enrollment Data Coordinator will lead the College in submission dates, file preparation, processing, graduation reporting, and clearing of errors to ensure compliance with the National Student Clearinghouse. The Coordinator will provide operational and data support for the Office of the Registrar. The Enrollment Data Coordinator will coordinate the Registrar's Office data by creating reports that validates the integrity and compliance of various data sets. The Coordinator will assist with the Registrar's technology needs in 25Live, Audit response, compliance standards, website updates, training of new staff on functionality, technical support for the student information system and online form processes. They will also coordinate course schedule builds, the final exam schedule, and graduation processing by advising students directly on matters of their program of study, degree audit, and completion of graduation. This position will work closely with the Admissions, Registrar, and Enrollment Management Center Departments to support the objective of increasing student enrollment and retention. They will be responsible for running edit reports, constructing a cross-training plan for each department and conducting multiple trainings each semester. The ideal candidate will join a vibrant and inclusive educational community, and have a desire and ability to work with diverse populations, ensure student record integrity and compliance with federal, state, and college policy.


Essential Duties and Responsibilities:


  • Create and coordinate reporting schedule with the National Student Clearinghouse (NSC) to report enrollment and graduation data and submit reports to the NSC.
  • Clear errors in rejected reports using investigative skills, apply a self-developed critical methodology for accuracy, and complete error resolution in collaboration with the Registrar, the Director of Financial Aid, the Assistant Director of the Enrollment Management Center, and the Technology Center.
  • Independently liaison with National Student Clearinghouse representatives to implement federal and/or NSC changes and solutions to issues or system upgrades and attend all NSC workshops and events, and take action to critically review changes as well as communicate relevant data on changes and updates to all pertinent departments and divisions.
  • Work in collaboration with Financial Aid to ensure data integrity with National Student Loan Data System (NSLDS) annual audit compliance.
  • Organize, review and disseminate information needed for Title IV compliance audits which includes acting as a liaison with auditors, Registrar, Financial Aid and MCC administration to assist in compliance audits.
  • Complete end of semester enrollment review and status updates for return of funds with Financial Aid.
  • Coordinate Classification of Instructional Program (CIP) code changes and semester coding in Banner.
  • Train and support faculty, staff, and students with technology which includes Degree Works, Navigate, College Scheduler, Parchment, Etrieve Suite, CastleBranch, Transformative and other current and future applications.
  • Assist with technology upgrades and User Acceptance Testing (UAT).
  • Write, develop and schedule reports using relational databases, such as but not limited to Argos, Microsoft Access, and Tableau.
  • Develop and sustain cross-training plans for the Admissions, Registrar, Placement, and Enrollment Management Center departments including conducting these trainings and workshops for Enrollment Services staff and students as needed.
  • Advise and register students seeking degree completion by evaluating high school and college transcripts, credit for prior learning, conducting one-on-one advising sessions, and review of student's degree audit.
  • Assist the Registrar's office with academic calendars, academic catalog, course scheduling, and webpage updates.
  • Work directly with students regarding vaccination upload and outreach initiates.
  • Participate in outreach campaigns for the Enrollment Management Division while collaborating with other stakeholders across the college.
  • Other duties as assigned.


Requirements:


  • Bachelor's degree in Education, Business Administration, or closely related field and 3 years' experience and/or training involving college admissions and enrollment, the implementation and use of technology, and/or office administration.
  • An equivalent combination of education, training, and experience may be substituted for the requirements listed above if candidate has experience in technology such as 25Live, MS Access, Argos, Banner, or experience working in a community college and knowledge of National Student Clearinghouse procedures.
  • Demonstrated understanding of, and commitment to, the community college mission and student population.
  • Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation and veterans, including those with different levels of academic preparation, varying physical and learning abilities.
  • Familiarity with large-scale applications, such as an SIS.
  • Demonstrated knowledge of compliance (federal, state, and institutional).

Preferred Qualifications:


  • Experience with Banner, 25Live, or reporting to the National Student Clearinghouse.
  • Excellent written and oral communication skills.
  • Excellent organization skills.
  • Experience with implementing, testing, and supporting technology.
  • Ability to write and execute analytical reports.
  • Ability to write sql code.
  • Ability to work with others.
  • Bilingual skills a plus.

This is a full-time, benefitted, MCCC professional staff position.


Salary Range: Starting salary range for a a Grade 4 position with a Bachelor's Degree is $52,754 actual salary commensurate with academic background and experience. Location: Primarily MCC's Bedford Campus with occasional travel to Lowell Campus as needed. This position will be eligible for a maximum of two days of telework in accordance with the College's telework policy.


Hours: 37.5 hours per week, schedule to be determined upon hire
