Job Description:


Raritan Valley Community College has an anticipated opening of Part-Time Administrative Assistant in the Workforce Training Center.


The Part - Time Administrative Assistant reports directly to the Director of Workforce Training Center. It is a one-year Pre-Apprenticeship in Career Education (PACE) grant funded position by the New Jersey Department of Labor. The primary responsibility of the Administrative Assistant is to support the PACE grant in Healthcare. PACE is a pre-apprenticeship program that introduces youth and adults to the USDOL Apprenticeship model of related technical instruction and career paths. This position liaises with Workforce programs, marketing, admissions, student services, community organizations, advanced manufacturers in the State of NJ and the surrounding areas, the Greater Raritan Workforce Investment Board and its subsidiaries, and the NJ Department of Labor.


Duties & Responsibilities:


Reviews, maintains and documents system & operational controls and procedures as required in the grant.

Support the training specialists in assisting with information sessions and classroom preparation.

Assist in disseminating information about RVCC's apprenticeship program.

Support PACE program participant with forms and documentation required by the grant.

Records the minutes of the work sessions and performs follow-up activities.

Keeps attendance logs and supports instructors with classroom materials.

Assists in registering each participant enrolled in PACE with the local area One-Stop Career Center.

Prepares all files and other forms of documentation related to the registered apprenticeship initiative. Assists employers with filling out required documentation.

Follows-up with student inquiries and enters information into Banner and Salesforce.

Provides telephone and front counter coverage and customer service for grant related activities.

Performs other relate duties as assigned.



Requirements:


Associate degree preferred.

Demonstrated experience in time management, presentation skills, Microsoft Office, self-motivation, accountability and responsibility;

Knowledge of Salesforce and Banner preferred.

Exceptional attention to detail, demonstrating complete follow-through in the execution of the apprenticeship program development strategy, and the ability to handle information confidentially;

Ability to work under pressure with multiple situations and deadlines;
