Job Summary

Reporting to the school dean, this position's central focus is supporting the work of department chairs as assigned by the dean. The Administrative Assistant II works in an exciting, fast-paced, and challenging environment that often involves multitasking and managing a variety of projects and requests.

The AA II frequently handles sensitive and/or highly confidential material and is a vital member of the team responding to internal and external demands.

Responsibilities
  • Schedules courses and departmental meetings
  • Provides event support such as arranging room reservations
  • Takes minutes in departmental meetings
  • Coordinates facility use and assists with space management
  • Processes course related changes for students (e.g., course overrides, waitlist, instructor approval for classes, learning community course changes)
  • Prepares updates and reports highlighting faculty accomplishments and publications
  • Performs other duties as assigned

Required Qualifications
  • Associate degree and one or more years of experience in an administrative support capacity or, an equivalent combination of education and experience
Preferred Qualifications
  • 4 Year / Bachelor's Degree
  • One or more years of experience supporting multiple people or departments
  • Higher education experience

  • Ability to learn various applications, college computing systems, and software
  • Ability to perform accurate work with an attention to details
  • Ability to work independently and collaboratively as determined by the situation
  • Ability to compose, punctuate, and proofread and summarize materials

  • Ability to respond to various audiences accurately and calmly and make decisions under pressure without immediate supervision
  • Ability to proactively follow through on tasks and close the loop with staff and constituents

  • Skills in various software platforms including Microsoft Office with a focus on Word and Excel
