POSITION SUMMARY
Provide a variety of administrative and office support services to the Board of Trustees. Maintain the character of the institution in dealing with all persons having business with the Board of Trustees. Exercises discretion and independent judgment in determining the dissemination of sensitive material and/or information. Anticipate and initiate action regarding administrative detail. Maintain the official records of the Board and assist members of the Board in fulfilling their responsibilities as Trustees of the College. This position is a highly confidential position within the college.
ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Attend the regular, special, and workshop meetings of the Board of Trustees and prepare minutes of such meetings for the formal approval of the Board. Responsible for the collection and production of the materials for the monthly board report of the regular meeting, the board workshop meeting and any special meetings and retreats.
2. In meetings of the board, conduct “roll call” for attendance, and motions requiring a vote by the board. Coordinate presentations by guests and members of the public in accordance with the designated agenda.
3. Attend the confidential closed session meetings of the Board, record and prepare minutes of meeting.
4. Maintain the official records of the Board of Trustees.
5. Compile, analyze and prepare special reports and materials, performing necessary processing and maintaining files and records as required.
6. Make minor and/or preliminary decisions regarding administrative details such as what information is to be provided and to whom, using judgment based on knowledge of College policies and procedures.
7. Prepare correspondence covering a wide range of subjects and under a great variety of circumstances for trustees. This includes composing and/or editing, typing and proofing correspondence.
8. Order meeting meals, arrange meetings and conferences, reserving tickets hotel and meeting rooms as needed by the Board of Trustees.
9. Assist the President and President’s Office staff as needed.
10. Perform related duties as assigned.
MINIMUM QUALIFICATIONS
1. High School Diploma or equivalent.
2. Three (3) to five (5) years of progressively responsible office and administrative support experience.
3. Superior written and verbal communication, organizational and public relation skills.
4. Proficient in MS Office 365 (Word, Excel, PowerPoint and Outlook), and Adobe Acrobat.
5. Excellent oral, written, and interpersonal communication skills, detail-oriented with the ability to proofread and type accurately.
6. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
7. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.
8. Demonstrated commitment to the college’s core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.
PREFERRED QUALIFICATIONS
1. Associate’s degree,
2. Experience in higher education or public sector.
3. Experience working with elected officials.
4. English and Spanish verbal and written communication proficiency.
5. Demonstrated multicultural competence.
PHYSICAL DEMANDS
1. Normal office physical demands.
2. Attend evening board meetings.
3. Ability to travel between campus locations and to and from community events.
4. Ability to move heavy boxes and set up for board meetings both on campus and off campus meeting locations.
5. Ability to travel in state and nationally.
WORKING CONDITIONS
1. Duties are performed indoors in the usual office and/or outdoor environment.
