Job Overview

The Associate Registrar for Curriculum, Scheduling and Program Planning participates with the University Registrar and other senior office professionals in the management of the Office of the Registrar in responsibilities that include but are not limited to:

Management, Planning, and Operations
  • Works with superiors and colleagues in the Registrar's Office, and in other departmental offices, to identify, evaluate, implement, and upgrade new software systems; streamline and improve the efficiency of processes; and makes recommendations regarding ways to accomplish all goals.
  • Makes recommendations to the University Registrar on policy setting and consistent application of policies.
  • Provides analysis, reports, and insight on course scheduling practices and degree audit system maintenance, and responds to stakeholder inquiries.
  • Hires, trains, and directly supervises 2-3 scheduling team members, as well as 1 or more student workers as needed.
  • Ensures that all processes are completed according to the University Registrar's Schedule of Events, and that all constituents are courteously and efficiently trained and assisted in responsibilities that include software management (e.g., EMS, CourseLeaf, Banner SIS, and DegreeWorks); and schedules classes for fall, spring and summer; for final examinations; and for ad hoc room scheduling.
  • Collaborates closely with CETS to manage classroom renovations and maintenance.
  • Completes employee performance evaluation process for direct reports and reviews indirect reports.


Curriculum and Program Planning Coordinates curriculum approvals, updates Degree Audit system scribe blocks, manages the production of the University Bulletins, Course Catalog, Schedule of Classes, and manages the different state and DC licensure and authorization processes for all new and changes to existing, online, and hybrid programs across Georgetown University. Specific responsibilities include:
  • Plans and executes the state authorization application and renewal cycle.
  • Tracks legislative/process changes and communicates to the Schools.
  • Serves as GU's official contact with state and DC bodies, mitigating the risk of communication errors.
  • Documents process, ensuring institutional knowledge is created and preserved.
  • Serves as the point of contact and execute requests from central offices, including Risk Management, Registrar's Office, Tax Department, Financial Affairs, etc.
  • Works with OADS to define data reporting standards and coordinate all data reports being sent to state bodies.
  • Coordinates with Counsel's Office to understand new regulations affecting online programs, and then communicates findings to schools and academic programs.
  • Emails state agency contact to obtain information on the process for adding a new program to the University's approval to operate in that state.
  • Communicates with internal stakeholders with programs approved by the Kansas Board of Regents to offer their programs in the state of Kansas, with instructions to provide a list of items including course descriptions, course numbers, and instructors of the included courses in the program 3 weeks prior to the Kansas Board of Regents' renewal application deadline; and if one or more programs is delinquent in fulfilling the request, follows up with a reminder.
  • Convenes the DegreeWorks User Group, manages upgrades to the system, and communicates new functionality and standard practices.


Schedule of Classes
  • Manages the timely and accurate production of catalog and schedule of classes each term, including but not limited to the accurate updates of pre-requisites, restrictions, permissions, course and section attributes, billing fees, enrollment, waitlist and reserve capacities, and course and section descriptions.
  • Collects and prepares materials for distribution to departments.
  • Works with Associate University Registrar and systems team on term role semester set-up.
  • Proofs parts-of-term in the SIS Banner.
  • Reviews all schedule submissions from departments.
  • Performs a space analysis for each department based upon prior like semester's usage.
  • Assigns all teaching spaces for main campus courses using the electronic scheduling system, an accumulated knowledge of faculty preference, enrollment tendencies and individual classroom features.
  • Plans office production timetable for schedule of classes and schedules meetings with staff to review.
  • Negotiates with faculty and departmental personnel for resolution of time, space, and curricular constraints.
  • Assigns appropriate teaching space for all courses, associated discussion sections, recitation, etc.
  • Maximizes use of limited teaching space using analytical tools and carefully controlling departmental time allocation.
  • Resolves all unscheduled courses in close collaboration with departments and faculty.
  • Coordinates publication of course schedule on web.
  • Continually monitors course enrollments to ensure that the assigned classrooms contain enough physical space for students registered.
  • Analyzes individual faculty teaching schedules to ensure continuity of space for back-to-back teaching assignments and to accurately reflect faculty preferences.
  • Assesses impact and disruption of schedule changes to student schedules, along with consequences of space allocation when advising academic departments of changes to the schedule.
  • Processes myriad schedule changes from departments.
  • Assists the academic departments and deans with analyzing registration data, contacting department chairs, and creating additional course sections resulting from student demand.
  • Directs assignment of classrooms for summer, special programs, and advises CETS Executive Director on renovations.


Classroom Assignments
  • Accepts all incoming inquiries from faculty regarding problems with their given classroom assignments in order to improve unsatisfactory teaching environments to assist faculty and students.
  • Resolves problems by relocating courses or by requesting CETS or Facilities Management to correct the problem
  • Identifies appropriate courses to switch, if necessary.
  • Negotiates all changes with affected departments and/or professors.
  • Closely collaborate with faculty and academic administrators for timing and notifying students of classroom changes.
  • Relocates all class assignments as needed for physically challenged students and faculty in compliance with the Americans with Disabilities Act (ADA).
  • Directs appropriate staff members to provide notification of changes as necessary.


Collaboration with CETS on Classroom Inventory, Features, and Characteristics
  • Advises the Executive Director of CETS and the University Registrar with regard to a long-term strategic plan for classrooms and to create, schedule, design, and implement a classroom renovation plan.
  • Provides reports and guidance to the Executive Director of CETS to identify spaces for improvement and coordinate the installation of new classroom technology.
  • Assists CETS in the collection of feedback from faculty and other constituents after completion of designated classroom projects.
  • Serves on ad hoc Committees formed in partnership with CETS to renovate specifically identified and funded classrooms.
  • Maintains characteristics of all main campus classrooms in Banner, EMS, CourseLeaf and other room inventory systems.
  • Personally conducts in-person on-campus inspections of classroom spaces to note ongoing technology and maintenance problems and provides notification to Facilities Management and CETS about problems detected.

Reporting to the University Registrar, the Associate Registrar for Curriculum, Scheduling and Program Planning works directly with individuals in the schools/departments listed below to manage curriculum coordination for the state authorization process, VA inventory of approved programs, and University bulletin publications; and manages and maintains the degree works audit system and with campus partners, also included below:

Qualifications
  • Master's degree - or Bachelor's degree with commensurate six years of work experience in higher education
  • 5 to 8 years of progressively responsible administrative experience - preferably in higher education
  • Project management skills
  • Proficiency with Microsoft Office Suite
