Overview

The Department of Chemistry at Princeton University is a large, research-intensive natural sciences department with an active community of 350 faculty, students, researchers and staff. The Senior Manager, Finance and Administration is charged with supporting the chair and faculty by executing policy and strategic direction for the department, developing and carrying out short- and long-term academic and operations planning in collaboration with the chair, and supporting critical priorities including faculty recruiting, promotions and retentions. The senior manager is responsible for ensuring that the faculty, students, and staff have the necessary resources to carry out their academic, research, and administrative duties.

 

The chair establishes the academic and intellectual direction of the department and the senior manager provides support for the chair’s vision. The senior manager supervises an administrative staff of 30, including the functional areas of budget and grants management; academic programs and student services; facilities and operations, including lab safety (265,000 sq ft research laboratory); staff supervision and performance management; and policy and compliance. In addition, the senior manager is responsible for salary reviews and appointments for 20+ technical and professional research staff, as well as lecturers. The senior manager reports directly to the department chair, with a secondary reporting relationship to the Senior Manager of Academic Administration.

 

The chemistry department includes 23 full-time faculty, 40+ administrative and technical staff, 9 lecturers; 190 graduate students; 100 research staff (postdocs, fellows, researchers, visitors); and approx. 65 undergraduate majors. There are 7 core facilities located in the Frick Chemistry Laboratory.

Responsibilities

Sponsored Research and Financial Management:

The senior manager develops the administrative budget for the department in collaboration with the chair. The manager is responsible for careful and appropriate management of the administrative allowance and a wide variety of endowed and restricted funds, as well as pre-award and post-award administration of grants and sponsored research projects. The manager monitors spending and provides regular and timely analysis and projections of the available funds to the chair, and meets several times per year with the Budget Committee (chair, faculty member, business manager, dept manager) to review dept financial commitments and budget.

 

Staff Management:

The senior manager supervises recruiting, performance management and improvement, merit increase and salary reviews processes, reclassifications, and professional development for the administrative staff and technical staff. The manager has oversight over all administrative staff members (12 direct reports), while a team of managers reporting to the department manager, supervise staff directly in their functional areas.

 

Academic administration:

The senior manager supervises the administration of departmental activities, ensuring that the department meets all deadlines for the offices of the Dean of the Faculty, Registrar, Dean of the College, the Graduate School, and the Dean for Research. The manager is responsible for the teaching budget; directly manages or provides oversight for appointments, reappointments, promotions, summer salary, and academic leaves of faculty; supervises the hiring of postdoctoral researchers and appointments of visiting fellows and visiting students. Works with Undergraduate Program Director to manage lecturer appointments and determine numbers of graduate student teaching assistants with in the teaching budget. The manager oversees staff who plan and carry out diversity, equity and inclusion activities and training for all ranks within the department. In addition, the manager guides faculty recruiting and promotion processes.

 

Policy and compliance:

The senior manager is responsible for understanding and communicating all university policies to faculty, staff, researchers and students. The department manager takes the lead on implementation of policies and regulatory compliance within the department, including laboratory safety. The manager oversees core research facilities and finances and ensures they are managed appropriately and according to federal guidelines. The manager ensures that continuity of operations and lab safety plans are in place and updated annually. The department manager is ultimately responsible for all health and safety compliance issues (including pandemic-related policies).

 

Facilities and Operations Management:

The senior manager oversees the management of a 265,000 sq. ft. research laboratory, including space allocations, laboratory renovations, instrument maintenance and repair, lab safety procedures and the logistical activities required of a large event venue.

Qualifications

Essential Qualifications:- Demonstrated leadership, problem-solving, decision-making, and communications skills. - Ability to effectively manage the resources of the department: experience in budget management, oversight of financial operations, and grants management. - Experience in the supervision and monitoring of staff relations, staff development, and delegation of supervisory responsibility.- Sensitivity to the needs and concerns of faculty, staff, and students and other members of the University community. - Superior organizational skills and ability to manage multiple priorities. - Ability to anticipate and initiate appropriate action in support of the Chair and department faculty. - Strong interpersonal skills and the ability to communicate in a manner that is professional, objective and easily understood. - Prior hands-on and demonstrated experience in the following competencies is required: Planning and Strategy, Financial Management, Grants Management, Personnel Management, and Staff Development.

 

Preferred Qualifications:

- Advanced degree preferred- Experience in university administration strongly preferred.
