We especially encourage women, people of color, members of the LGBTQ+ community, veterans and people with disabilities to apply.Description:Reporting to the Director, SOM Financial Affairs in the Donald and Barbara Zucker School of Medicine at Hofstra/Northwell (ZSOM). The Contracts Administrator is primarily responsible to prepare and generate paperwork related to business contracts and clinical affiliation agreements, discuss contract terms with vendors in consultation with major stakeholders at ZSOM, assist with the daily operations of the ZSOM financial affairs team, and compile financial data and reports, as needed, for internal and external regulatory entities.

Responsibilities include, but are not limited to:
•Tracks, monitors, and continuously reviews and edits new and existing business contracts and clinical affiliation agreements for the School of Medicine to ensure they are carried out from start to full execution and all involved parties receive the necessary documentation.
•Reviews business terms with vendors and serves as a liaison to end users at ZSOM to ensure that contracts meet the needs of the program at ZSOM.
•Initiates, submits, and tracks purchase orders in collaboration with the University’s Purchasing Department, with adherence to guidelines and established procedures for requisitioning, purchasing, reviewing, and paying for goods and services.
•Maintains a meticulous electronic tracking system for all contracts and related transactions and ensures that all purchased/reimbursed items are properly recorded, tracked, and reported.
•Assists with drafting, tracking and maintaining any needed forms, waivers, riders and overall guidelines for the SOM to be submitted for legal review and approval.
•Manages and implements all contractual invoicing for services provided by or to the ZSOM and/or any third parties.
•Works with the events team at the ZSOM to help budget, provide event estimates and final invoices and receivables.
•Develops policies, procedures, and guidelines for the ZSOM as they relate to internal processes for contracts management, budget monitoring and control, requisitioning and other accounting/ financial-related items.
•Performs other general office duties as needed or required, including special projects as approved by supervisor.
•Performs other related duties as assigned.

Qualifications:•Bachelor’s degree required in accounting, finance, business affairs, or related field with at least two years of experience in accounting, budgeting, or contract management.
•Proficient in the use of business computer software (i.e., Microsoft Office – Word, Excel, and Access) at an advanced level.
•Knowledge of accounting principles and their application to budget and accounting problems.
•Ability to exercise independent judgment to maintain efficiency and accuracy while demonstrating exceptional collaborative skills.
•Strong organizational skills to effectively manage high volumes of paperwork.
•Excellent verbal and written communication skills.

Preferred Qualifications:
•Knowledge of automated financial system (preferably Ellucian Banner) strongly preferred.
•Paralegal experience a plus.
