Position Summary and Responsibilities
Vassar's Safety and Security Office provides 24 hour/day, 7 day/week security and protection services to the Vassar community. We are seeking candidates for an Administrative Assistant- K. This is a part-time, academic year position.
Responsibilities:
  • Provide assistance to the supervisors coordinating Clery compliance for the department and monitor the on-line Clery educational program for completion, etc.;
  • Coordinate meetings, make room reservations, and manage calendars;
  • Act as a liaison to campus constituents and as necessary research and take independent actions to resolve issues or advise supervisors/department head;
  • Answer the telephone, route calls, take messages, greet and assist visitors. Provide a courteous and knowledgeable point of contact between Safety and Security and the campus community;
  • Handle student parking registrations and process parking summons, to include communicating charges to campus departments that handle billing;
  • Provide assistance to the supervisor in charge of transportation and by issuing keys to fleet vehicles and various parking research and communications;
  • Order and maintain office supplies and equipment. Process purchase orders when appropriate;
  • Prepare various written communications for the director including but not limited to, trespass notices and letters; meeting minutes;
  • File records, forms and other information; opens, sorts and distributes mail; schedule appointments for department head and other supervisors;
  • Provide work direction to student interns;
  • Monitor Security Officer's working hours, including overtime. Communicate with various departments regarding extra duty details and send out requests for staffing as needed. Update the department and college software programs as needed;
  • Confirm charges to appropriate campus budgets, maintain records of officer training, submit paperwork for NYS Security Guard licensure and assist in tracking and monitoring the department budget;
  • Assistant with weekend campus events at various times of year (i.e. move in day, founders day, commencement)
  • Perform other duties and projects as assigned.





Qualifications
  • A minimum of two to four years of administrative assistant experience and/or training, preferably in a customer oriented environment;
  • Strong computer skills are required including proficiency with Microsoft Word, Microsoft Excel, e-mail and internet browsers; experience with time reporting and/or payroll systems is preferred;
  • Willingness and ability to learn new computer applications required;
  • Excellent written and verbal communication skills and telephone manner are essential;
  • Ability to interact effectively with a diverse community of students, faculty, staff and visitors;
  • Demonstrated professional, problem-solving demeanor; good judgment and discretion, including the ability to maintain confidentiality;
  • Strong organizational skills with attention to detail; and the ability to effectively manage deadlines and multiple, competing priorities;
  • Must be able to work independently.
