St. Edward's University of Austin, Texas invites applications for the position of administrative coordinator for the Department of Athletics. The administrative coordinator will assist the university in meeting the specified goals of the mission statement and the athletic department through professional support of the department.

For consideration, (Qualifications): High school graduation required. Two years of college level coursework or Associates Degree is preferred. Two (2) or more years of demonstrated administrative support experience required; Higher Education environment experience preferred. Must have the ability to demonstrate intermediate to advanced level skills in MS Office (Word, Excel, and PowerPoint) and virtual platforms such as Zoom. Must have excellent verbal and written communication skills; strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; ability to work effectively with communities across the university; highly responsive to the needs of others. Must have high ethical standards and a strong sense of confidentiality; ability to demonstrate attention to detail; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; display solid problem solving and interpersonal skills; work well independently and as part of a team. Successful completion of an employment and/or criminal background check is required.

Essential Responsibilities:
  • Provide comprehensive administrative support in daily activities for the AVP for Athletics to include manage calendar, schedule meetings and meeting space, manage travel arrangements, drafts agendas, sends reminders, prepares/gathers materials for pre-meeting distribution, distribution of all post-meeting materials and occasional catering
  • Serve as the clearing house for competition schedules, team travel itineraries, pre-registration guides, absence letters to faculty, student-athlete end of year assessments, Athletic Council materials, NCAA required staff appointment letters, volunteer and GA paperwork and processes, card access privileges for all athletics facilities, stewardship thank you letters from AVPA, monitoring the GamePlan tellus@stedwards.edu account
  • Provide clerical support to Senior Associate Athletic Director
  • Provide occasional support to Sports Information Director
  • With the support of student work-study assistants, provide general support in daily activities of the office such as: greet guests, produce routine correspondence, answer phones, distribute mail, maintain files, etc.
  • Assist with coordinating special events to include but not limited to: hall of fame, homecoming, awards ceremony
  • Act as liaison between athletics department front office and visitors, vendors, and other University contacts (physical plant, post office, etc.)
  • Other duties as assigned
