    The Honors Program Administrative Assistant provides general administrative and clerical support for the Honors Program. The primary purpose of this position is to provide a full range of moderate to complex clerical and secretarial assignments involving the use of judgment and discretion to support the expansion of the Honors Program over the next five years and the provision of its unique opportunities to more undergraduate students at FVSU. Projects are of moderate scope and complexity, such as the completion of small to medium-sized projects. Day-to-day work is performed relatively independently with general instruction, except for new assignments.

    DUTIES AND RESPONSIBILITIES

      Supports the day-to-day operations of the Honors Program office by providing a wide variety of general office support including the electronic and manual file maintenance, drafting correspondence, maintaining program and event calendars, ordering supplies, and sorting and distributing mail.Answers, screens, and transfers inbound calls as appropriate.Receives and directs visitors.Reviews, distributes, and disseminates incoming/outgoing mail..Handles requests for information and data.Schedule and coordinate meetings, appointments, and travel arrangements.Prepare agendas for meetings.Assists with collating, coordinating, and distributing student applications to join the Honors Program; notifying various administrative offices of newly-accepted Honors Students; and maintaining tracking spreadsheets of Honors Students, Honors Faculty, and Honors Faculty Council members.Assists with running semesterly reports on Honors Students to ensure satisfactory maintenance and completion of program requirements.Assists with developing and implementing marketing strategies for the Honors Program.Create and manage electronic requisitions through PeopleSoft.Assists with creating and tracking program budget.Provide oversight and management of the Honors House facilities.Perform other duties as assigned.
    KNOWLEDGE REQUIRED BY THE POSITION

    • Knowledge of modern office practices and procedures.
    • Knowledge of university and program policies and procedures.
    • Knowledge of budget creation and management.
    • Must be able to prioritize and organize workflow.
    • Must be able to provide good customer service at all times.
    • Must have good listening skills, as well as can provide good oral and written communication.
    WORKING CONDITIONS

    • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.
    • Regular office environment, climate-controlled
    • Regular schedule is Monday through Friday, 8 am-5 pm
    • Work schedule may require extended workday and some weekend hours during the Registration process and recruitment events.
    MINIMUM QUALIFICATIONS

    • High School Diploma, plus three years of clerical experience in Higher Education or a professional setting.
    • Computer skills and knowledge of relevant software.
    • Knowledge of operation of standard office equipment.
    • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
    • Ability to plan and organize.
    PREFERRED QUALIFICATIONS

    • Associate's Degree.
