Normal Work Schedule: Monday - Friday 8:00am to 4:45pm

Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.

Additional Department Summary: The External Affairs & Development Office Manager provides administrative support to all the development officers and staff members in the College of Engineering External Affairs and Development (EAD) offices. Manages, maintains, and reconciles departmental budge. Oversees EAD purchases. Maintains conference room equipment and scheduling. Serves as a liaison to those who contact EAD looking for information or assistance, referring them to the appropriate individuals or departments. Manages and maintains prospect records and database. Processes mail and all checks within the College of Engineering. Serves as a liaison to other departments. Produces and distributes thank you letters and donor recognition. Provides assistance for the event coordinator with preparation and cleanup of events (may include occasional out of town events and lifting/carrying 5-20 lb. boxes) to support the event coordinator and department.

Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate's degree and one (1) year of general office experience; OR a Bachelor's degree.

Skills and Knowledge: Excellent communication skills and customer friendly service. Efficient and accurate computer and data entry skills. Ability to multitask, adhere to deadlines, and follow University wide guidelines, policies and procedures. Ability to work collaboratively in a dynamic setting. Punctual and reliable. Ability to research and prepare comprehensive reports. Ability to work at a rapid pace with numerous interruptions. Ability to cope with stressful conditions. Ability to work with a diverse population and demonstrate professionalism through all correspondence and encounters while representing The University of Alabama and College of Engineering. Demonstrate tact, versatility, and adaptability. Strong attention to detail.

Preferred Qualifications: Proficient in Denny (Blackbaud), Concur, Banner, Microsoft Excel, Microsoft Outlook, Microsoft Teams, and Microsoft PowerPoint.
