Academic Collective Program Coordinator

The d.school Academic Collective team is seeking a highly collaborative and detail-oriented program coordinator to perform a range of operational duties as they relate to classes and other learning experiences. The ideal candidate will have administrative, operational, and financial experience with the ability to thrive in a creative, and at times ambiguous, environment.

The mission of the d.school is to help people unlock their creative abilities and apply them to the world. We teach people how to innovate across disciplines in a human-centered way. We believe discovery and innovation often happens at the edges of disciplines. The d.school is a place where students and faculty from all of Stanford's seven schools can overlap and intersect. Design is the glue and common language for problem finding and solving.

The d.school's Academic Collective team is responsible for the courses, programming, and curriculum for Stanford students. We serve around 1150 unique students per year in ~95 courses. Our instructor community in a given year includes 130+ people from Stanford, industry, and the social sector.

In our classes, students take on projects and challenges that require a new way of looking at what's possible to frame problems and produce innovative solutions both in class and beyond. Our goal is to enable them to be Citizen Creators-people who make change in their mediums of choice in a range of contexts relevant to them.

We believe in advancing the discipline of design, and infusing our community with expertise from beyond our walls. Experimentation with new media and tools for teaching and practicing design is constant.

To be successful in this role, you will:

Course Production
  • Work collaboratively with our Program Managers to coordinate class operations each quarter.
  • Master the interconnected back-end systems and processes involved in class organization and maintenance.
  • Support instructors and student assistants with details of onboarding and course setup. Help these communities navigate Stanford guidelines as challenges arise.


Event Logistics
  • Support the execution of small- and larger- scale student or instructor facing events.
  • Communicate internally with other program partners and externally with attendees regarding event logistics.


Communication
  • Assist in publishing Academic Collective projects, content, and new learnings for external audiences.
  • With the Program Managers, develop and execute class marketing campaigns, including email, social media, and on-campus efforts.
  • Maintain up-to-date course and instructor details on the d.school website.


Numbers Magic
  • Partner with Program Managers, teaching teams and students to simplify course operations and student project finances.
  • Stay current with Stanford finance guidelines to ensure smooth and timely completion of financial requests.
  • Perform essential data entry, cleanup, and analysis related to students, learning outcomes, and classes.
  • Support existing efforts and expand the team's ability to collect meaningful data from stakeholders.


Work as a member of a team
  • Collaborate closely with the Program Managers, and core members of the Academic Collective team throughout the course production process.
  • Mind the mission of the d.school across all tasks.
  • Become an integral member of the d.school community. Pitch in and help out on a range of projects from within the team and beyond.
  • Be flexible with projects and willing to pivot as needs shift either unexpectedly or with time.


Your responsibilities include:
  • Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
  • May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
  • Maintain approved content on websites.
  • May perform human resources transactional support, e.g. time cards, I9s, and/or faculty affairs support.
  • May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

Education & Experience
  • High school diploma and three years of administrative experience, or combination of education and relevant experience.

  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
