Title:Executive Director, Administrative Services Position ID Number:971 Posted Date:07/15/2022 Closing Date:08/12/2022 Job Category:Staff Department:Administrative Services - HADM Position Status:Full-Time Staff Salary Range:$131,694 - $164,618 Position Summary:Reporting to the Vice President for Learning Resources Management, the Executive Director of Administrative Services is responsible for creating and maintaining a safe, healthy, and comfortable physical plant environment for students, faculty and staff that enables students to achieve their educational goals. Responsible for the planning, design and construction of new and renovated facilities, maintenance of existing campus facilities and grounds and providing services in a reasonable and timely manner. Provides leadership for the Facilities Planning and Construction Department, the Facilities Maintenance and Operations Department, the Document Services Department and the Workplace Safety and Risk Management Department. Responsible for overall administration of the College’s property and land assets, facilities strategic planning, facilities master plan, capital planning, facility design and construction, facility maintenance, capital construction project management, mail and document services and risk management. The Executive Director works cooperatively and collaboratively with other College offices and departments, administration, faculty, and staff and serves as a staff resource to the Board of Trustees Facilities Committee.

Job Duties and Responsibilities:Leadership and Supervision: Plan, coordinate, evaluate, and direct the Facilities Planning and Construction, Facilities Maintenance and Operations, Document Services and Workplace Safety and Risk Management activities of the College. Oversee the Administrative Services operating budget. Update, develop and implement policies and procedures for the Administrative Services area. Serve as a staff resource to the Board of Trustees Facilities Committee.

Facilities Maintenance: Plan, direct, and maintain an effective preventative maintenance program for College buildings, grounds and associated equipment and systems.

Facilities Master Plan: Provide strategic leadership for the College’s Facilities Master Plan in accordance with state guidelines. Develop funding strategies for individual projects and manage shifting priorities. Conduct an annual review to assure the continued relevance of the plan. Schedule and develop long-term plans for capital projects, college facilities and plant operations in alignment with the plan.

Innovation and Customer Service: Develop and implement systems, procedures, processes, and new approaches that continually promote, foster, and assure high quality services to faculty, staff and students. Promote a clear customer service commitment within the department to meet the needs of a diverse campus community.

Space Planning & Utilization: Ensure the strategic and effective use of space by partnering with units across campus to identify opportunities to utilize, create, modify and renovate facilities in support of the College’s strategic priorities. Serve as chairperson for the Architectural Review Committee and cross-divisional Facilities Projects Planning Team.

Capital Budget: Oversee and manage the capital budget including the planning, design, development and completion of all projects for cost control, document control, scheduling, required state and county submittals and quality control to ensure that financial resources, staff resources, deadlines and performance requirements are met. Collaborate with the Business & Financial Resources Office to prepare the College’s capital budget submission to the county and state. Prepare all state-required reports and submittals.

Safety & Compliance: Ensure that the college complies with all local, state, and federal laws and regulations that relate to the college’s physical plant and facilities. Overall responsibility for the college’s workplace safety program, business insurance coverage and ADA compliance/accessibility of College facilities. Serve as a member of the College’s Emergency Operations Team.

Required Qualifications:

Bachelor's degree

Minimum five (5) years of relevant experience required.

Comprehensive experience in engineering, architectural, construction management, facilities management, plant operations, or related field with at least five years of supervisory experience.

Excellent oral, written and interpersonal communication skills required.

Ability to interact effectively with diverse groups including the college community, senior management, government officials and the general public.

Working knowledge of federal, state and local building codes and regulations.
