South Puget Sound Community College (SPSCC) seeks highly motivated and qualified individuals for the position of Director of Enrollment Services & Registrar.

The Director of Enrollment Services & Registrar reports directly to the Dean of Enrollment Services. The Director of Enrollment Services & Registrar is responsible for providing leadership for the campus One Stop (admissions, registration, and financial aid), student records, the Call Center, credential evaluations, graduation, and management of the Student Management System (CTC Link) which supports quarterly enrollment processes that ensures the needs of new, currently enrolled, and returning student populations are met. The position also oversees and leads in interpreting state and college policies and procedures that support student enrollment and meets required reporting requirements.

Admissions and Enrollment

  • Establishes standards and sets priorities for admissions and registration.
  • Provides supervisory oversight of the staff responsible for admissions, registration credential evaluation, and the Call Center. To include Hiring, training, coordinating and supervising front line staff in daily operations ensuring customer needs, college policies and procedures are being met.
  • Plan, develop, organize and direct efficient and effective Enrollment Services policies as it pertains to admissions and registration including special admissions (AAS & BAS programs).
  • Oversee staff use of CTC Link Campus Solutions Pillar and/or future systems, ensuring staff utilizes software properly for admissions, registration, and records transcription. Act as the Subject Matter Expert for software set-up for quarterly enrollment, updates and maintenance.
  • Liaison for Lacey for contract/Campus CE registration, Transitional Studies admissions and enrollment, etc.
  • Plan, develop, organize and direct efficient and effective Enrollment Services policies as it pertains to admission and registration including special admission (Nursing and Dental programs). Ensuring coordination with the instructional leads and division deans.
  • Collaborates with Instruction to ensure set up of classes is correct for student registration purposes.
  • Plan, develop, organize and direct the quarterly schedule as it pertains to registration, wait list, the wait listing of courses. Monitor and make necessary adjustment for wait list.
  • Creates and maintains a supportive, student-centered environment among the staff that is sensitive and responsive to all students. Promotes student-oriented and equitable customer service practices.

Records

  • Serve as College Registrar and Records Officer to manage the evaluation and posting of accepted credits transferred and the evaluation of credits for credentials, and ensure compliance in the award of degrees, diplomas, and certificates.
  • Ensures the accuracy of transcript evaluation; performs evaluations and signs all transcripts;
  • Run the appropriate jobs for reporting purposes, i.e., admissions, registration, grading, and transcription.
  • Ensures compliance with admission and student information, regulations and laws concerning enrollment verification and release of student information. Oversees and ensures confidentiality of student records and college information, and ensures compliance with the Family Educational Rights to Privacy Act (FERPA).
  • Assist with overseeing and determining the legality of Subpoenas and fulfill the request(s) in a timely manner. Contact legal representatives as necessary, as well as other campus offices, in the coordination of information compilation.
  • Responsible for National Student Clearinghouse, Military Tuition programs, and others for reporting enrollment, grade, and degree verifications.
  • Implement and supervise processes to ensure completion and recording of all final grades by quarter. Notify faculty and staff when grades are due and how to submit them. Ensure entry of grade data into student transcripts. Coordinate with faculty to resolve any related problems. Notify administrators and administrative assistants if an instructor misses a grade deadline. Explain SPSCC grading policy and procedures as necessary. Maintain and monitor any internal grading changes.
  • Maintains and updates changes to the academic degrees offered at SPSCC in degree auditing systems and programs, i.e., Compass Degree Planner and CTC Link Academic Advising Reports. Requires knowledge of the current course catalog, requirements of the ICRC Handbook, and working with the Instructional Office and faculty to maintain changes related to college and state requirements as well as student educational planning and credential evaluations.
  • Assists with the annual graduation ceremony in verifying degrees and graduation requirements (requires attendance at graduation ceremony).
  • Manage the maintenance, updates, security, transcription, and disposal of student records to comply with federal and state requirements.
  • Maintains professional standards by interpreting and enforcing for students, faculty, staff, and administrators, the rules and regulations that govern registration, grades, grade changes, withdrawal dates, tuition refunds, un-met pre-requisite schedule adjustments and warning/probation/dismissal and others.

Leadership, Policies and Reporting

  • Assists with campus-wide short- and long-term enrollment planning efforts in order to ensure that the college develops and meets enrollment objectives as well as ensuring accurate reporting of all enrollment transactions to Instruction and Institutional Research.
  • As SPSCC’s Residency Officer, the Registrar is responsible for interpreting and enforcing Washington State residency law and determining residency status for students.
  • Working collaboratively with Student Financials, assists with reviewing lists of students to be dropped for non-payment of tuition during the academic quarter. Requires working with several areas of the college such as Financial and Student Services departments and programs to prepare and process such lists in a time manner.
  • Reviews and rules on student petitions for policy exception, including late withdrawal requests, and general petitions not directly related to faculty activity (such as grades).
  • Work with College Relations in updating the quarterly schedule to ensure important dates are listed accurately for upcoming quarter; the class schedule is published correctly and the accuracy of enrollment related web-pages and printed marketing materials.
  • Participate actively and collaboratively on committees as needed including but not limited to student recruitment, staff recruitment and hiring, college committees and councils, etc.
  • Regularly attend professional meetings both on-campus and off-campus; train others on new processes, requirements and other updates as needed.
  • Works with faculty and staff to effectively communicate policies and procedures, and receive input on college initiatives and practices within the area.
  • Produces reports that are shared with campus stakeholders such as warning/probation/suspension reports and produces quarterly honors list.
  • Provide leadership, development and supervision of staff to maximize the overall performance and ensure alignment of the department’s and College’s strategic plan, core values, vision and mission.
  • Other duties as assigned.
Qualifications You Possess

Minimum Qualifications

  • Bachelor’s degree in education or related field
  • Five (5) years of relevant work experience.
  • Three (3) years of supervisory experience.
  • Clear understanding of FERPA
  • Preferred Qualifications

    • Master’s degree in education or related field.
    • Three (3) years of registration/enrollment services experience.
    • Working knowledge of student management systems (preferably SBCTC legacy system or People Soft).
