Responsibilities

The Associate Administrative Assistant reports to the Chair of the Department of Music and is responsible for providing administrative support to the Chair by establishing, coordinating, and monitoring the daily operating procedures of the department; overseeing the daily management of the office, maintaining, and reconciling the budget, producing financial reports and overseeing all clerical duties assigned as the Associate Administrative Assistant.  He or she is responsible for handling all incoming telephone inquiries; and maintain a performance appointment calendar, schedule performances, and create program information for circulation. Maintain performance information on candidates in the music and music education programs; Handle incoming and outgoing correspondence, compose letters and memorandums, and prepare meeting minutes; schedule meetings and other activities in support of the Department of Music; maintain inventory, records and filing system. Update and maintain weekly staff leave reports; verify staff travel reports for Chair’s signature; requisition and validate supplies, equipment and furniture received from vendors; maintain faculty and student records; prepare minutes for Department meetings; and maintain office files.  The Associate Administrative Assistant also provides support to the departmental faculty. Perform other duties assigned by the Chair within the scope of this position.

Qualifications

High school graduate with additional course work in business, secretarial science, organizational management, or related discipline is required. An Associate or  Bachelor’s degree in a related discipline is strongly preferred. The successful candidate must possess considerable knowledge of office management practices and procedures; possess proper grammar, spelling and punctuation skills; and Microsoft Office programs.  Working knowledge of office manager’s responsibilities, advancement programs and policies and procedures are strongly preferred.  Candidate must be able to follow directions and work autonomously of the Chair when needed.  Applicant must possess excellent written and oral communication skills and exceptional customer service skills.  Demonstrated ability to work effectively with faculty, staff, students, University constituents; and coordinate, plan and manage multiple tasks.  Previous experience as an Associate Administrative Assistant is preferred.
