Job Summary

Under the general direction of the Associate Director of Student Financial Services, assist in the administration of the Student Financial Services department in the areas of Account Management. The assistant director has specific responsibility for analysis of student financial need, awarding aid, educational financing counseling for parents and students and appropriate functions as assigned by the director.

Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

Award Processing (40%):

Analyze need for approximately 15% new applicants and current students each year, verifying information and awarding approximate aid based on a variety of packaging policies. Participate in discussions with the other directors regarding professional judgment changes in individual and general situations. Consult with other directors in the on-going review of policies, procedures, forms, and application materials.

Financial Aid Advising (25%):

Advise students and parents about financial aid, educational financing and student account issues. Document consultation as appropriate for internal file and with student/family. Consult with a wide range of staff including, but not limited to, the Class Deans, the Controller, and the Dean for International Study in order to ensure an enhanced student experience.

Systems Maintenance (25%):

Assists in work within multiple SFS systems including PowerFAIDS, CashNet, Workday, The Housing Director, Slate. Provides backup to Assistant Director responsible for active student billing and assists in implementation of new systems.

  • Act as point person for multiple departments at Smith/5 Colleges to manage billing/aid information, including enrolled student deposits, DIS Scholarships, Employee Tuition Grants, OA scholarships received as EFT transfer, additional meal plans purchased, infirmary fees, campus cash transfers, computer loans, 5 college fees, one-time miscellaneous charges and credits, etc.

  • Ensure health insurance is billed and manage student account entry of student waivers and health grants.

  • Enter refunds/advances authorized for weekly student refund process.

  • Manage monthly inactive student billing including transfer of uncollectible accounts to the Controller’s Office. Coordinate preparation of statement mailing including inserts.

  • Assist in active student billing for fall and spring bill including EIB loads, auditing bill data, revising financial aid. Etc.

  • Assist in annual/ongoing updates and testing of related systems as needed.

  • Assist in production of data searches and/or reports.

Professional Development (5%):

Participate in workshops and professional meetings. Maintain knowledge of current trends, regulations and policies in financial aid – both institutional and federal, attending professional development programs as required.

Other Functions

Other (5%):

Conduct presentations to on and off campus groups. Perform other tasks as needed to meet the goals of the Office of Student Financial Services including service on various campus committees and work groups.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Education/Experience: Bachelor’s degree plus a minimum of 3 years relevant experience, or an equivalent combination of education and experience.

Experience working with individuals from diverse backgrounds.

Skills

The ability to effectively and efficiently develop and execute several key projects simultaneously. Must be able to work independently, have strong organizational and planning skills, excellent writing and oral communication skills, strong analytical and computer expertise including familiarity with Microsoft Office Suite. Excellent interpersonal skills and be able to interact with people of all backgrounds. Ability to use sound judgment, creativity and vision.

Additional Information
