Description:

Provides administrative, technical, project and clerical support to the Human Resources Department.  Responsibilities include but are not limited to assisting employees with questions and concerns, assisting with department projects, events, compliance and regulatory items, database maintenance, organizational chart and job description maintenance, student employment, and supporting specific tasks related to the benefits and employment functions. 

Responsibilities:

  • Answers phones, assists employees, students, others that enter the office with frequently asked questions related to standard policies, benefits, employment etc.  Refers complex questions to the appropriate staff member.
  • Provides administrative support to all members of the Human Resources team when required.  Demonstrates a thorough comprehension of HR processes and procedures, and programs.  Serves as a backup to the Benefit and Employment Specialist as needed.
  • Maintains the integrity and confidentiality of human resource files and records including but not limited to, Tax forms, Benefit enrollment forms, Form I9, NYS Wage Theft Forms. Ensures appropriate paperwork is filed in a timely manner.
  • Performs periodic audits of HR files and records to ensure compliance.  Archives files as needed.
  • Supports data entry process by accurately entering data into the College’s HRIS system as needed. Assists with data analysis as needed. 
  • Maintains the Colleges organizational charts and job descriptions as needed.
  • Reviews and updates the department website as needed.
  • Assists with the planning and execution of HR events such as benefits enrollment, service recognition and Tobin awards, and new hire orientation.
  • Demonstrates accuracy with automation efforts and systems and provides assistance with projects to improve overall efficiency with Human Resource operations.
  • Performs other duties as assigned.

Qualifications:

Bachelor’s degree in Business, Human Resources, or related field and 1-2 years’ experience in Human Resources.  Equivalent combination of education and experience will be considered.   

Knowledge, Skills & Abilities:

  • Must possess a customer-service oriented demeanor and the ability to communicate effectively with all campus constituencies.
  • Ability to organize information, prioritize tasks, and work with confidential and sensitive information in a professional manner.
  • Demonstrated proficiency in word processing, spreadsheets, electronic database management, electronic calendar management, website maintenance.
  • Proven ability to be accurate and quality driven. 
  • Possess the ability to multi-task in an environment with frequent interruptions. 
  • Ability to work with a diverse community and build strong working relationships throughout the organization through positive and professional interaction. 
  • Excellent written skills.
