Departmental Overview
The Department of Sociology is recognized for its educational and research excellence, consistently ranking among the top programs in the United States. It is a large, dynamic and diverse academic department in the Social Sciences Division of the College of Letters and Science at the University of California, Berkeley, consisting of 28 tenure-track faculty, 16career staff, 13 visiting instructors, 18 visiting scholars, and approximately180 ASE appointments. The Department of Sociology has approximately680 undergraduate majors and 140 doctoral degree students. The Department of Demography is widely regarded as among the best and most creative demography programs in the world, occupying a unique niche in the population studies landscape, with a strong focus on formal demography, population theory, and on the relationship between demographic dynamics and social, cultural, and economic dynamics. The Department has 4 tenure-track faculty, 4 emerti faculty, 4 career staff, and2 visiting instructors, 1 visiting scholar, 5 postdocs. The Department administers a Demography Ph.D., a Sociology-Demography Ph.D., a Demography M.A. degree and an undergraduate minor, and hosts the Bay Area Colloquium in Population.

Responsibilities
Administrative Support to The Department Chair
- Supports and assists the Chair of the Department. In conjunction with the Department Manager, provides continuity and aids in the smooth transition from one Chair to the next. Advises Chair on procedures and precedent in routine matters, and of special import in sensitive situations. Independently evaluates, screens, prioritizes (and when appropriate redirects) requests to the Chair's Office from faculty, other administrators and outside agencies. Independently composes correspondence on behalf of the Department Chair to the general public and University Administration. When requested by the current Chair, manages the Chair's calendar including appointments and deadlines. Manages and monitor the Department Chair's SPA email account.
Communication and Event Administration
- Oversees the communications and announcements of department activities and events, and maintains events and announcements on department website. Acts as department liaison with Campus Public Information Office and the press redirecting inquiries to faculty members with appropriate academic research interests. Distributes communications and announcements through bMail and MailChimp software; maintains the Sociology Department e-mail alias lists for faculty, visiting faculty, and staff. With department contributors, coordinates, drafts, edits, and distributes the department newsletter. Assists with promoting and communicating the department's Summer Sessions program. Acts as the primary liaison between the Sociology Department faculty colloquium coordinator and colloquium speakers, arranging travel, hotel accommodation and publicity. Assists Chair, faculty Manager, graduate students and other staff members with special events, projects, receptions and faculty ad hoc committees on an as needed basis. Oversees and documents departmental meetings.
Academic Recruitments
- Administers selected phases of the faculty recruitment process, advising and assisting the Department Chair and Faculty Search Committees in formulating recruitment strategies, and preparing the Recruitment Search Plan. Coordinates activities of the Department Search Committee, facilitating communication between the members of the Committee, the Department Chair, faculty and graduate students. Places the recruitment ads in scholarly journals and submits the approved ad for posting on the UC Berkeley Academic Job Vacancy Website. Sets up and maintains candidate files, corresponds with candidates as needed, organizes and compiles materials for evaluation of candidate qualifications by the Chair, Search Committee Members, faculty and graduate students. Coordinates with Faculty Equity Assistance Office: Enters candidate data into the Faculty Equity Assistance database; prepares related paperwork for appointment cases ensuring compliance with University policies including Faculty Equity policies; advises on potential search costs (advertising, travel, accommodations). Coordinates candidate visits including: travel; accommodations; job talks; appointments with faculty and graduate students.
Academic Personnel
----Policy Interpretation and Guidance----
- Acts as the primary liaison with the Principal Analyst for Academic Personnel in the College of Letters and Science and Academic Personnel Office regarding academic personnel matters for ladder-rank faculty. With direction from the AP Analyst 3, advises Department Chair and individual faculty on a wide range of academic personnel matters, including policies and work-related problems. Keeps abreast of policies and procedures in the College of Letters and Science, Academic Personnel, the Academic Senate, and the Chancellor's Office. Provides feedback to management and recommends strategies for addressing sensitive faculty situations and/or requesting exceptions to policy. Assists the Analyst 3 in developing retention packages, identifying applicable precedents in similar cases, including items such as summer salary, research funds, recruitment allowances, travel and removal costs, GSR's, and computer enhancements. Spots potential labor-contract grievance situations.
----Administrative Support in Academic Review Cases and Sabbaticals----
- Maintains step and salary history for all ladder-rank faculty and determines eligibility for merit, 5-year, mid-career, and final appraisal/tenure and promotion reviews and reappointments; Ensures reviews are timely and all requirements are met. Advises candidates as to the procedures, materials required for the review, and deadlines. Attends and documents (takes notes at) confidential faculty meetings where discussion and voting on promotion cases occur; serves as a resource for the Chair and the faculty on relevant policy. Enters the data into the Human Resources Management System Tracking Program when the case is forwarded to the Administration. Assists with processing faculty leaves (sabbatical, research, and leaves without salary) for Ladder Rank faculty, verifying requests meet eligibility requirements. For sabbaticals: Composes letters of support and required forms for the Chair's signature and forwards to the Dean's Office, ensuring deferral of excess sabbatical leave credit.
Required Qualifications
- Bachelor's degree in related area and/or equivalent experience/training. Ability to use sound judgment with sensitive subjects in responding to issues and concerns. Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Solid organizational skills and ability to multi-task with demanding timeframes. Working knowledge of and/or ability to learn common organization-specific computer application programs, human resource management systems, and other related software programs and systems. Ability to use discretion and maintain confidentiality. Basic knowledge of and ability to apply/interpret organization and college policies and procedures which govern academic HR.
Preferred Qualifications
- Knowledge of organization, college and departmental formal and informal policies and procedures and understanding of variances to stated policies. Knowledge of unit academic culture and educational goals of discipline(s) served. Analytical skills to conduct analysis and develop recommendations to Chairs/unit management.
Salary & Benefits
This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid bi-weekly and eligible for full UC Benefits. Hourly pay for this role is commensurate with experience within the range of $27.20 (Step 1.0) - $35.61 (Step 13.0).

This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
