Job Description

Administrative Support
  • Use the NAU Peoplesoft and Salesforce databases to access information
  • Support receipt, scanning, filing, and check-out of important documents accurately and dependably
  • Maintain document filing system, student electronic files, and archives
  • Greet and assist visitors to Center for International Education
  • Answer CIE phone line for all divisions, manage visitor check-in, and support student appointment scheduling
  • Coordinate drop-in advising hours
  • Use Microsoft Outlook to view staff availability and monitor office email account
  • Process cash and credit card payment for passport photos and processing
  • May guide and train student employees on: scheduling, workflow, prioritizing workloads, setting appropriate deadlines, and reviewing work for quality
  • May lead work of student employees providing support work at the ISSS Front Desk

Student Services
  • Provide information to international students regarding ISSS programs and services
  • Provide appointment scheduling and information about Education Abroad and Interdisciplinary Global Programs
  • Maintain digital signage in the Blome lobby and physical brochure displays
  • Complete SETA trainings on nonimmigration students and exchange visitors

Social Media, programming & Communications
  • Develop and share social media content
  • Create flyers, posters, newsletter and develop means to share content/information
  • May serve as a co-advisor for International Club or the iFriends program
  • Assist with logistical aspects of iFriends event programming and events throughout the year
  • Schedule and prepare presentations on behalf of ISSS for orientation and ISSS-sponsored workshops and events

Special Projects & Additional Responsibilities
  • Keep Front Desk, first floor and ISSS work area clean and organized
  • Maintain office supplies for first floor offices
  • Work on special projects with ISSS staff as assigned (design and prepare info packets, distribute flyers, filing, etc.)
  • Complete NAU mandatory trainings and follow guidelines


Minimum Qualifications

  • High school degree
  • Available during open office hours 8am - 5pm
  • Previous work or volunteer experience


Preferred Qualifications

International experience - you have experience living or studying in another country, or have an interest in learning about other cultures

Work environment - you are comfortable multi-tasking and maintaining a professional attitude in a fast-paced, ever-changing office; you are able to prioritize and multitask

Service-oriented - you have excellent customer service and interpersonal skills and are polite, professional, and follow established procedures and policies

Communication skills - you have strong verbal and written communication skills; you are comfortable interacting with people from diverse backgrounds who have varying English language abilities; additional language ability a plus

Technology skills - you are familiar with a multi-line phone system, Microsoft Outlook email and calendar systems, MS Office suite Excel, Powerpoint, and Word, Peoplesoft, and Salesforce

Administrative Support Experience - you have previously worked in an administrative role and have strong organizational skills and attention to detail

Programming Experience - you are able to organize and facilitate educational, cultural, and social events that enhance international students' transition to NAU campus and Flagstaff Community

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

$17.00 per hour

FLSA Status

This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.

Benefits

This is a part-time, non-benefit eligible position.
