Stanford Libraries is seeking a part-time Library Entrance & Exit Specialist (Portal Monitor) for the Cecil H. Green Library's Welcome Desk, Stanford's largest library.

About the Access Services Department:

The Access Services Department's work centers around library inventory control and customer services. The department includes several teams: Circulation & Course Reserves, Library Privileges & Visitor Experience, Stacks & Collection Maintenance, Resource Sharing & Digital Delivery, and Media Center operations. With an eye of overall system-wide impacts, our department teams lead by example and stay closely coordinated with other branch libraries.

About the Position:

The Library Entry & Exit Specialist (Portal Monitor) is a member of the Access Services Department and reports to the Library Privileges & User Experience Librarian at the Cecil H. Green Library.

We seek a dependable, focused, and communicative individual to fill this highly visible customer service role at the Green Library's Welcome Desk. Using excellent communication skills, and a friendly approach, the staff member will greet and assist users with entry and exit from Stanford's largest and busiest library.

The staff member will communicate library policies, answer questions, and ensure library visitors have registered before they enter. The staff member will also check the bags of patrons who are exiting to ensure library materials are checked out. Excellent customer service and teamwork requires performing the workflow with consistency, and with a positive and helpful attitude. Workflow at the entry desks vary depending on the time of day and the academic calendar. Periods of high traffic may require the staff member to prioritize tasks or ask for additional help. The staff member will contribute to the department's objective to always improve the user experience of our building by reporting user feedback, facilities issues and safety issues that are observed from the Welcome Desk. The staff member will also be relied upon to notify the supervisor or public safety of any security concerns and report on emergencies and incidents following department procedures.

Work Schedule:

During regular academic year quarters:

Thursday 7:00 PM-12:45 AM (30 min Lunch), Saturday 1:00 PM-5:45PM (no Lunch), Sunday 12:00 PM-7:00 PM (30 min Lunch)
A total of 22.75 hours per week.



Summer-Fall Intersession is a seasonal layoff.

The Winter Intersession schedule during the academic year is TBD.

A shortened unpaid lunch period is optional, by employee request. Hours and schedule vary according to Stanford's Academic Calendar and Green Library's operational need.

Job Responsibilities:

  • Employee will monitor the flow of users entering the library including maintaining compliance with building policies, ensuring library materials are properly checked out, referring patrons to appropriate campus and library resources
  • Position does not have any supervisory authority over other employees



Characteristic Duties:

Portal Monitor may include job duties such as:

  • Monitor entrance and exit to library which includes constant interaction with public
  • Assist visitor register with visitor registration software and check government issued identification upon patron entrance
  • Monitor card entry failure at library entrance, and report failures to library staff and/or supervisor on duty
  • Visually inspect incoming visitor's personal belongings to prevent banned materials entering the library
  • Regularly perform baggage checks on all patrons exiting and visually inspect for any checked-out library materials. Refer patrons to the circulation desk as needed
  • Report any suspicious activity, building access violations, property loss and/or any emergency. This may require calling emergency services or campus security, including writing incident reports
  • Record entrance statistics and gate counts on a daily basis
  • Keep workspace clean, presentable, safe from obstructions and tidy

Minimum Education and Experience Required:


  • High school diploma, G.E.D., or equivalent combination of education and relevant experience.


Minimum Qualifications:

  • English language fluency. Demonstrated strong communication skills (both verbal and written)
  • Demonstrated excellent customer service, including the ability to initiate public discourse, articulate policies in a clear and concise manner
  • Demonstrated professionalism including diplomacy, discretion, great judgement, handle confidential information and work effectively with a diverse team
  • Ability to prioritize tasks on the fly
  • Knowledge and experience with the Windows Operating System and web-based applications, including email and calendar applications.
  • Ability to learn and successfully use Stanford-specific computer applications, perform data entry, word processing and web navigation.
  • Demonstrated ability to learn and apply Stanford's commitment to a respectful workplace including, but not limited to, Affirmative Action, diversity, and a workplace free of any type of harassment as it applies to their work group


Physical Requirements:


  • Constantly stand/walk, twist/bend/stoop/squat; perform desk-based computer tasks.
  • Frequently use a telephone/radio, perform seated work.
  • Occasionally lift/carry/push/pull objects that weigh up to ten pounds
  • Visual acuity adequate to perform job duties, including reading information from printed sources, computer screens, mobile screens and to clearly observe patron behavior at up to 30 feet
  • May be exposed to fluctuating temperatures.
  • May be exposed to allergens
