St. Norbert College, a nationally-ranked, private, Catholic, liberal arts college is seeking a Cash Operations and Student Accounts Specialist. This position is responsible for handling all preparation and reconciliation of monetary processes from Auxiliary Services and customer service regarding all account receivables. This includes counseling students and parents regarding account balances and debt management, and general clerical duties.

Specific responsibilities:

Provide customer service in person, on the phone, and written communication. Responsible for assigned alpha list of Accounts Receivable unpaid balances, contacting and counseling students and parents regarding account balances. Investigate and provide acceptable financial plan payment options. - 30%

Process all Auxiliary Services Cash/Credit Card Payment reconciliation daily. This includes forwarding the cash/check deposit for them to the bank. Prepare cash bags/change orders weekly, ensuring that the appropriate denominations of money are available to meet the department’s cash needs. Bring deposits to the bank every other week by driving a college van. - 35%

Reconcile the College’s online tuition gateway payments daily. - 10%

Assist and back-up the Loan and Student Accounts Specialist in areas of Perkins Loan record management, including loan consolidation paperwork. - 10%

Weekly Accounts Payable check distribution and filing. Bi weekly reconciliation of Payroll general ledger with bank statement, including processing voided checks. - 5%

Responsible for collecting or processing new student requirements, including the student payment responsibility agreements, online deposit payments, and file maintenance. Provide various back-up duties for the AR Operations and Student Accounts Specialist as needed. - 10%

Perform additional duties as assigned and attend College required training. Regular attendance is required. Work in a manner that is aware of personal safety and the safety of others and observes safety, health and sanitation codes, regulations, or practices required by the College or governmental authority.

Required Minimum Qualifications:
Education -

  • High School Diploma or equivalent

Experience and Credentials -

  • 2-3 years accounts receivable and/or cash handling experience.

  • Valid Driver’s License.

  • Demonstrated experience working in and fostering a diverse campus environment or commitment to do so as an employee of St. Norbert College.

Knowledge, Skills, and Abilities -

  • Knowledge in computerized accounting systems.

  • Ability to interact professionally with coworkers and customers, particularly in conflict situations.

  • Ability to talk politely and resolve customer service issues.

  • Ability to multitask, meet specific deadlines, and prioritize tasks and assignments.

  • Skilled in basic math computations such as addition, subtraction, multiplication, and division.

  • Knowledge of computer programs (Microsoft Office, Google Apps) and ability to learn upgrades and new programs as needed.

  • Ability to exercise good judgement and decisions in an expeditious manner.

Working Conditions:

Regular work hours are Monday – Friday, 8:00 am – 4:30 pm with a few interruptions throughout the day. Weekends or evenings are not required and the position is not expected to stay overnight for any travel. This position is expected to work on campus on a regular basis and is eligible to participate in Hybrid Work and Flexible Schedules. Approval of Flexible Work Arrangements are at the discretion of the department supervisor to ensure that the needs of the department and college are met.

  • This position requires walking around campus every work day to distribute and pick up cash bags. Must be able to lift and carry at least 25 lbs. Will need to move within the office and building with occasional meetings in other buildings on campus.
