Job Description:

Provides HR Support to faculty members, students, staff members, and visitors. Greet visitors and handle inquires and/or refer to appropriate staff. Maintain general organization of office. Answer telephones, schedule meetings, file, and scan documents, and maintain appropriate calendar. Attend various meetings both in person and via zoom/teams video call, taking minutes as needed. Serves as back up to support other HR staff members during vacation, sick leave, and other high-volume periods to ensure that needed assistance is provided.

Assists the Payroll Administrator with all aspects of bi-weekly payroll processing. Prepare payroll documents accurately for approval and processing. Provide information to faculty, staff and students regarding time reporting rules and regulations. and ensure all new hires are properly notified and trained to report time. Reviews preliminary and final pay lists each cycle to identify discrepancies that need corrections. This includes tracking for appropriate time reporting codes for holidays, DPL and Emergency closing as well as appropriate entries for those faculty and staff on extended leave of absence. Assists as needed to ensure appropriate approvals of time, maintain supervisor groups and coordinate with supervisors to complete required training for time approval.

Originate ePAF transactions for Graduate Assistants, Student Assistants, OPS including new hires, job edits, supervisor updates and terminations. Maintain any internal tracking spreadsheets. Review required I9 documents for new hires and update appropriate systems for compliance.

Serves as HR file custodian and record retention officer for assigned departments. Maintains all Faculty, Staff, Adjunct and Admin OPS/STAS active personnel files and scans for electronic storage and required retention. Requests approval for destruction as directed by the UF record retention schedule. Communicates with the appropriate staff to properly update the HWCOE College Directory for new hires, terminations and job changes including title, location, and contact info.

Track and follow-up with employees to ensure all new hires have completed required training and that current employees remain up to date.

Other duties as assigned. The incumbent is expected to attend meetings at the College and University level related to personnel and payroll matters when requested.

Expected Salary:

$18.00 - $19.00 per hour; commensurate with qualifications and experience

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:

Must possess excellent organizational skills.

Knowledge of the University of Florida’s policies & procedures for payroll, and personnel preferred.

Experience in understanding the PeopleSoft reports such as preliminary paylist reports, running payroll and cost distribution reports, Incumbent must have the ability to communicate effectively and professionally both verbally and in writing.

Person needs to be proficient in use of Windows-based personal computer, MS Word, Excel, electronic communication (email, etc.), internet, and PeopleSoft.

Must exercise professionalism as a representative of the College Dean’s Office.
