Administrative Assistant

Outreach & Global Engagement

The University of Tennessee, College of Veterinary Medicine, invites applications for the position of Administrative Assistant.  This position works with the Associate Dean for Outreach & Global Engagement (OGE), as well as other OGE staff, to facilitate the delivery of college continuing education (CE) programs, to document and provide proof of CE completion to participants, to compile college outreach metrics, to assist HABIT staff fulfill their responsibilities of program outreach, to assist the college and individuals involved in global engagement projects, and to aid in the organization and delivery of college special events. 



Qualifications
Typical Responsibilities:

Provides support to the Associate Dean for Outreach and Global Engagement, and other OGE staff, organizing continuing education (CE) events sponsored by the college. This includes management of conference and CE schedules, participant data, provision of CE attendance documentation, and assisting the events coordinator with event planning and delivery. Ensures all event details are covered, such as making sure the venue is reserved, food is ordered, program is requested/printed/received, making sure name badges are put together, reminding speakers of deadlines and time slots, providing on the ground support for events, and general trouble shooting in the event of issues.

Provides support to the Associate Dean for Outreach and Global Engagement, and other OGE staff, compiling metrics for various outreach activities led by the college.  This includes managing numbers of people engaged with different aspects of the CVM including, but not limited to, cases seen by various hospital and laboratory services, impact of CAIT programs, number of contacts with HABIT volunteer teams, and number of students, faculty and staff engaged in global programs (research, teaching, etc.). Compiles data from various parts of our college (outreach programs, hospital cases, lab submissions, etc.) and prepares a regular report. 

Provides support for faculty, staff or students engaged in global activities. Supports visiting foreign students or scholars.  Provides correct CGE sites to register travel with the university, or refers them to the appropriate CDC and state dept sites for travel.  For visitors, this person may act as an admin liaison with the Center for Global Engagement and helps with any questions the visitor may have.

Minimum Qualifications:

At least 1 year of administrative experience in an office setting, ideally in higher education.

Preferred Qualifications:

Bachelor’s degree and experience working with event planners, continuing education, or global programs.
