This is a full-time, temporary position.

The salary range for this classification is: $3,288 - $6,347 monthly.

Major Duties

This position will oversee all departmental accounting functions for revenue and expenses for departmental operating funds and University Foundation accounts; assists in the development of annual unit action plans and strategic initiatives for business/finance and travel operations staff coaching and reviews; collaborate with the Athletics administration on the development, monitoring and reconciliation of the annual department operating budgets; serve as budget officer for all sport and support units including approval of purchases and expenses, process journal entries/transfers, provide monthly financial statements, monitor and reconcile department general ledger accounts; prepares department's annual EADA and NCAA Financial Reports; coordinates preparations for annual external and internal audits; oversees monthly and annual reconciliation of booster club accounts; ensures all transactions are in compliance with the university expenditure policies and purchasing procedures; oversee procedures education, and controls for the department fiscal and travel operations according to University guidelines and best practices; identify opportunities to streamline controls and monitoring activities via financial software and/or IT solutions; Develop and facilitate approval process for contracts and service agreements, including facility rental contracts for appropriate approval.

Qualifications

Required Education: Bachelor's Degree from an accredited university and/or equivalent training

Required Experience: Three (3) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.

Knowledge, Skills and Abilities:

Knowledge of: Financial policies, practices and systems; skills in budgeting, reporting and analyzing accounting, and bookkeeping; strong verbal and written communication skills; client-service oriented, good listening, critical thinking, and analytical skills.

Skill in: Proficiency in the use of computerized office systems and software programs which perform word processing, spreadsheet, and database programs.

Abilities to: Coordinate the Athletic department operating budget, contract management, NCAA reports and scholarship management. Ability to work in a fast-paced environment, multitask, manage and prioritize work, and delegate work appropriately; inter-personal skills and ability to work effectively across the organization at all levels.

Preferred Qualifications: Three (3) years of responsibility in athletics related business, finance, or accounting, preferable in a collegiate environment; knowledge of financial policies, practices and systems; skills in budgeting, reporting and analytics, accounting, and bookkeeping, strong verbal and written communication skills; client-service oriented, good listening, critical thinking, and analytical skills, ability to work in a fast-paced environment, multi-task, manage and prioritize work, and delegate work appropriately; inter-personal skills and the ability to work effectively. Experience working in a collegiate athletics environment; experience completing EADA, NCAA Financial Reporting and NCAA financial Audits; knowledge of NCAA rules and policies, experience working with PeopleSoft based software; Interest in passion for students and Intercollegiate Athletics

Responsibilities

60% - Assist in implementing and managing the annual budget for the Department of Athletics for all General, Trusts, Foundation and ASI funds. Track all projected revenues and expenditures on an ongoing basis. Record all financial transactions in an internal accounting system and reconcile transactions in an internal accounting systems and reconcile transactions monthly to the university's General Ledger system. Develop and facilitate approval processes for contracts and service agreements, including facility rental contracts, for appropriate approval. Manage Athletic Human Resource documents to include preparing position descriptions, maintaining position numbers, preparing eFast and HIRE forms as well as employee separation checklists.

35% - Monitor the compliance of all CSU and CSUDH business related policies, procedures and guidelines (Including travel, procurement, contracts, and accounts receivables). Prepare and submit required annual financial reports to organizations. Prepare budget reports and updates for coaches and management as needed. Track athletic scholarship expenditures, process, book and record trade-out usage requests.
