SUMMARY:

This full-time position supports team of Assistant/Associate Directors and provides clerical and administrative support for university fundraising programs and activities within the Annual Giving office. This position coordinates events, reports, mailings, emails, and other communications, and collaborates with overall office work and projects. This position is in contact with University vendors and staff members and therefore must project a professional image and have excellent communication and organization skills. The ideal candidate would be a team player, with high proficiency in word processing and spreadsheet skills, able to function in a fast-paced environment with a positive attitude, and ability to handle multiple projects and tasks with accuracy and attention to detail. The position will report directly to the Senior Associate Director of Annual Giving Operations.

RESPONSIBILITIES:

  • Oversees outgoing correspondence relating to Annual Giving Reunion/Class Giving team communications, generation of lists from database system, and other reporting functions as needed.
  • Prepares and maintains required correspondence and documentation.
  • Assists in maintaining the University’s Giving web page in collaboration with University Communications.
  • Manages the mass-texting platform used by Advancement and departments across campus.
  • Provides and/or oversees support activities for the office such as answering telephones, assisting and resolving problems and inquiries of visitors, and follow-up on operational commitments.
  • Provides clerical and administrative support for the planning and coordination of fundraising programs and activities.
  • Plans and coordinates special events for students and alumni.
  • Communicates with internal departments and vendors to the University.
  • Supports the Director, Senior Associate Director, and Assistant Director(s) on additional projects as needed. Works with colleagues in the Office of Annual Giving to meet overall department goals and objectives.

QUALIFICATIONS:

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Demonstrated ability to maintain confidentiality.
  • Ability to gather data, compile information and prepare reports.
  • Database management skills.
  • Proficiency in Microsoft office (Excel, Word, Outlook, PowerPoint)
  • Word processing and/or data entry skills.
  • Ability to create, compose, and edit written materials.
  • Knowledge of office management principles and procedures.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Organizing and coordinating skills.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.

EDUCATION & EXPERIENCE:

  • High school diploma or GED; bachelor’s degree preferred
  • Minimum of two to four years of experience that is directly related to the duties and responsibilities specified

WORK HOURS:

  • Full-time, non-exempt position
  • Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
  • Required to work Reunion Weekend, and may be asked to work Family Weekend and Homecoming Weekend

SALARY STRUCTURE:

Pay Grade 4 (Hiring Range $17.18 to $21.48 per hour)
