Reporting to the Executive Director, HR Transformation & Analytics and providing support to the Assistant Vice-President, University HR (UHR), the incumbent is responsible for providing a wide range of high-level confidential administrative, operational and project support impacting HR practices and policies across the University.


Working as a member of the project team, the incumbent supports a broad range of project and initiatives impacting HR practices, policies, and technology across the University. The incumbent participates in all stages of institution-wide HR project life cycles by researching best practices, participating on consultations, conducting testing, and assisting with troubleshooting. The incumbent assists with and advances projects and undertakes initiatives and daily activities within the Division of People Strategy and Culture that require knowledge of confidential information impacting staff in all employee groups.

The incumbent is also responsible for providing a wide range of administrative support to the AVP, UHR. More specifically, the incumbent’s responsibilities include back-up support to the Administrative Assistant in managing all aspects of the complex and intensive appointment schedule for the AVP, UHR with a view to providing seamless administrative support to the AVP. The incumbent conducts background research and briefings in preparation for meetings or in response to various issues; prepares and edits a variety of frequently complex and confidential materials; exercising considerable judgment in releasing information to answer queries and resolving issues.


The incumbent also provides basic HR support for the Division, including drafting offers of employment, screening applications, sourcing information on HRIS, etc., as required by the AVP, UHR and the associated HR Consultant. The incumbent functions as part of a team of HR professionals supporting and monitoring the University’s Employee Service Centre, providing HR information to the community and identifying appropriate escalation pathways for more complex queries.


The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality.

QUALIFICATIONS REQUIRED

EDUCATION:
University degree in a relevant field of study; completion of (or working towards) Certificate in Human Resource Management (CHRP), or an equivalent combination of education and experience.

EXPERIENCE:
Minimum of two to three (2 – 3) years’ experience working related experience in administration and project coordination preferably within an HR environment. Familiarity with academic environment preferred.

SKILLS:
Proficiency in word processing and spreadsheet applications; familiarity with HRIS systems. Proficiency with MS Office, scheduling and e-mail software; typing speed of 70 wpm; Familiarity with SharePoint an asset.

OTHER:
Superior oral and written communication, facilitation and interpersonal skills; Demonstrated proactive and effective client service orientation; Demonstrated creativity, flexibility, initiative and problem-solving skills; Ability to work effectively both independently and within a team environment and to successfully manage multiple and conflicting priorities with tight deadlines; Demonstrated analytical skills; Awareness of and sensitivity to issues of equity and diversity; Ability to maintain strict standards of confidentiality; Demonstrated project management skills; Demonstrated ability to deal with sensitive issues with tact, diplomacy and compassion.
