Typical functions for the Administrative Support Specialist for Advanced Radar Research Center (ARRC)


    Purchasing, processing, and maintaining supplies, equipment, promotional items, and services for the department, including those for student and faculty research projects.Initiate PCard purchases and requisitions according to policies and proceduresTrack purchasesPCard reconciliationAdd new suppliers as needed

    Shipping projects, supplies, documents, etc. for faculty, staff, and students thru FedEx, UPS, and USPS; working with the Office of Export Controls to maintain compliance in purchasing and shipping.
Event Coordinator:

    POC for all events involving the ARRC and/or being held at the Radar Innovations Lab. Will require occasional work on weekends and time outside regular Monday thru Friday, 8-5, business hours, as well as some domestic travel.Schedule events & tours, including securing tour hosts as neededBook rooms/venue locationsSet up and clean up as requiredPurchase food/beveragesDistribute event emails/flyersBook hotels and secure transportation for visitorsKeep PSO informed of all events and visitors to the RILComplete US Person Verification forms when requiredCoordinate with outside organizations hosting events at the RIL
Other duties:

    POC for incoming calls to the main ARRC phone lineStock coffee/kitchen supplies and keep lab organizedDistribute mailPOC for office machines, such as the copy machineProvide additional support to faculty, staff, and students as needed.

Job Location
Required Education: High School diploma or GED, AND:

     12 months in office, clerical or administrative support experience.

    Working knowledge of office proceduresGeneral office and customer service skillsWorking knowledge of Microsoft Office Suite (Outlook, Excel, and Word)Excellent interpersonal skillsAbility to work independently and as a team playerAbility to complete tasks in an efficient and timely mannerMust be detail-oriented for accuracy of data and informationAbility to multitask, be organized, and self-motivatedAbility to work in stressful situationsAbility to communicate verbally and in writing
Physical Requirement:

    Must be able to engage in repetitive motions and communicate effectively.  Frequent exposure to pressure caused by deadlines and busy periods; ability to communicate, including expressing oneself or exchanging information with others; ability to use a computer daily.
Departmental Preferences:

•    Previous OU experience, particularly in the budget, accounts payable & purchasing or payroll
