The Academic Coordinator, Ph.D Programs, will oversee and manage all functions serving Ph.D. programs and students in the Electrical and Systems Engineering (ESE) department. Work with Faculty Directors to provide student advising; support admissions and administer program functions, including initial processing and screening of applicants and onboarding new students; address student queries and foster student/alumni community. This position will also support Postdoctoral Researchers and Visiting Graduate Students.

Job Description

In coordination with Faculty Directors and department Associate Director (AD), the Ph.D. Academic Coordinator will provide student advising and support. Responsibilities include ongoing academic advising: administering audits and implementing policies and regulations; advocating for students by connecting graduate students to services available in the department as well as in the school and university; and documenting and elevating systemic issues to the Associate Director and Faculty Directors.


Implement, improve and communicate administrative operations to attain transparency. Establish and document clear and streamlined processes (e.g. petitions, qualifiers, etc.). Creatively and effectively broadcast program goals, policies and processes for current and prospective students (may include community events, website, social media, student profiles, etc.)

The Ph.D. Academic Coordinator will foster student communities by developing student leadership in collaboration with the Department AD. Leverage wealth of knowledge from student communities and networks to further student goals.
In all aspects of the work, gather student/participant feedback to formulate emerging themes and actionable insight. Raise common/systemic student experiences (both positive and negative) with AD and Faculty Directors; propose improvements, as appropriate, and implement changes. Leverage technology, student leadership and creative communications channels to effectively support all program and department goals.

Qualifications:

Bachelor’s degree and a minimum of two years of related experience or an equivalent combination of education and experience. Ability to prioritize and multitask, excellent written and verbal communication, interpersonal, and customer service skills, strong attention to detail, and strong organizational skills. Proficiency in MS Word, Excel and Google required.

Previous experience in advising and leadership development preferred. Experience in the following areas a plus: supervision, counseling, community organizing, data (quantitative or qualitative) analysis, WordPress.
