The Fellows Assistant is an integral member of assigned JILA research groups and provides travel and other support services to assigned JILA Research groups that contribute to a welcoming environment supportive of JILA’s commitment to diversity, equity and inclusivity. The Fellows Assistant assists with travel arrangements and related reimbursement/expense reports and serves as a communications hub by providing communication and information to support organizational transparency and to promote a feeling of connectedness for JILAns. The Fellows Assistant position is responsible for organizing various research events and for welcoming new people into their research groups as part of JILA’s onboarding process. This position reports directly to the JILA Fellow leading the research group and is full-time, on-site.

JILA was founded in 1962 as a joint institute of CU Boulder and NIST (National Institute of Standards and Technology). JILA's fellows include two Nobel laureates, Eric Cornell and John Hall. JILA's CU members hold faculty appointments in the Departments of Physics; Astrophysical and Planetary Science; Chemistry and Biochemistry; and Molecular, Cellular, and Developmental Biology; as well as in the School of Engineering (JILA pays for summer research, funding 32 Fellows). NIST’s Quantum Physics Division members hold adjoint faculty appointments at CU in the same departments. Each year, JILA scientists publish more than 200 original research papers in national and international scientific journals & conference proceedings.

What Your Key Responsibilities Will Be

Concierge Service. Provide services in support of a welcoming, transparent and inclusive work environment

  • Travel Support. Assist JILAns who will be traveling for research purposes.
  • Provide information on correct procedures for travel and reimbursement.
  • Aid with travel arrangements and travel reimbursement reports;
  • Serve as a central resource for JILA on travel questions; and
  • Provide proactive feedback to JILA travel procedures.
  • Information Hub.
  • Provide information about JILA proactively and in response to questions as possible.
  • Forward significant or recurring questions, concerns and feedback to JILA COO as raised by JILAns; and develop or request development of informational materials to address the topics in collaboration with COO.
  • Develop and distribute communications and notices of upcoming events in a timely and effective manner.
  • Procure a variety of operating and research supplies for assigned research groups.

Employee Onboarding/Departures

  • Create a positive experience for JILAns as they enter/leave JILA.
  • Make special arrangements for JILA visitors including welcome events and ways to work with researchers within JILA.
  • Notify JILA Community Engagement Coordinator of new JILAns.

Research Events. Provide support services for a variety of JILA research events

  • Provide logistical support services for planned events including reserving physical location, ordering refreshments and supplies, arranging for set-up and clean-up of room, A/V and other facilities as necessary.
  • Greet guests and ensure clear communications for events.

The starting salary for this position is $57,000 per year.

  • Bachelor’s degree.
  • 2 years of experience providing service and information to students.
  • 2 years of experience handling day-to-day operations of a unit.
What You Will Need
  • Demonstrated dedication to diversity and inclusion.
  • Driver’s license.
  • TIPS certification, or ability to obtain TIPS certification upon employment.
  • Demonstrated excellent communication skills including written, verbal and interpersonal.
  • Proficient in using Microsoft Office programs.
  • Ability to establish and maintain positive and cooperative working relationships.

  • High degree of professionalism and ability to maintain confidentiality.
  • Sense of humor and positive outlook.
