Licensed to the Board of Trustees of San Diego State University, KPBS serves a countywide audience with news, information, cultural, entertainment, arts, and educational programming. The KPBS Newsroom Manager provides project management and administrative support primarily to the KPBS News Director and the newsroom management team, while providing basic support to the newsroom. Work often involves confidential information or sensitive situations that require discretion and the exercise of sound judgment. The Manager is the first point of contact for the newsroom, ensuring effective communications within the station as well as with the public and press contacts. The position manages the department's hiring process, vendor contracts, billing, equipment replacement and purchasing, and budget reconciliation and performs a variety of administrative and office support functions, The Manager provides daily supervision of a variety of areas, including making travel arrangements, scheduling meetings, managing calendars, and coordinating appearance requests for station journalists.



Responsibilities
The Newsroom Coordinator is responsible for but not limited to:

MANAGEMENT SUPPORT/OFFICE SUPPORT (35%)
  • Handle confidential information and situations in a sensitive and professional manner.
  • Work with representatives from public and private entities and handle potentially sensitive situations.
  • Manage communication and collaboration between the News department and other departments, as well as external constituents. Troubleshoot solutions for newsroom staff and facilitate interdepartmental communication. Manage on-call roster for newsroom editors.
  • Manage department staffing calendars.
  • Organize and coordinate KPBS events, meetings and departmental trainings; take minutes and distribute to relevant staff. Duties can include coordinating speaker presentations and technical requirements for presentations and rehearsals, calendaring, setup and clean up, and arranging refreshments.
  • Manage travel and accommodation arrangements, often coordinating with the finance and marketing departments. Support news and programming with international guidelines and proper paperwork.
  • Maintaining emergency and fire prevention supplies for newsroom staff covering breaking news. This may Include fire prevention supplies, gas masks, fire suits, water, batteries, lights, walkie-talkies. Also ensures new hire staff are added to the emergency in-house communication alerts.
  • Manage correspondence and filing, incoming and outgoing mail and order/maintain equipment and supplies.
  • Maintain equipment check-in and check-out database and obtains guidance from engineering to fix or replace items.
  • Gather and communicate internal updates from newsroom staff to the Executive office as needed.


  • BUDGET PREPARATION/RECONCILIATION, EXPENSES and GRANTS (35%)
  • Regularly track ongoing content deliverables for grants and reports and provide updates to news executive team and grants managers.
  • Assist the KPBS grants team with grant writing/research and gift reports and proposal opportunities. Create reports, spreadsheets, grant reports and other presentations as required.
  • Manage the SDSU Research Foundation Procurement Card program for KPBS newsroom; make business purchases as needed; coordinate purchase orders and personal expense reimbursements for newsroom staff.
  • Prepares budget reconciliation for newsroom budgets and assists with budget adjustment proposals.
  • Track expense budgets and provide follow-through with the business office, Foundation, State and vendors on the status of purchase orders, check requests and other financial transactions.


  • NEWSROOM STAFF/STUDENT SUPPORT &TRAINING (30%)
    • Manage the recruitment, onboarding and schedules for the Newsroom StudentAssistants. Prioritize daily tasks in support of newsroom initiatives and other personnel as assigned.
    • Work with KPBS and SDSU Research Foundation Human Resources staff to manage the full recruitment cycle for newsroom hires in a timely manner. Assist with job postings, job descriptions, recruiting efforts, etc. Assist hiring managers with basic iCIMS and HR protocol training.
  • Support new hires with needed paperwork, production gear, and access to platforms like Google Suite, 1Password, Inception, Streamline and other accounts as necessary, provide orientation for new hires, which could include tours of the station, parking structures and relevant SDSU offices & buildings. Assist with familiarization as necessary.
  • Support and train newsroom staff with timecard system and other administrative functions, as needed.
  • Provide support to staff and works as liaison to finance, payroll and human resources, to coordinate processing of newsroom staff premium pay.
  • Knowledge and Abilities
    • Ability to maintain confidentiality.

    • Thorough written and oral communication skills, including English grammar, spelling, and punctuation.

    Qualifications
    MINIMUM EDUCATION
    • Equivalent to a bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices or programs.

    MINIMUM EXPERIENCE

    • 3-years of progressively responsible experience in an office or administrative environment


    PREFERRED QUALIFICATIONS AND SPECIAL SKILLS
    • 4 years administrative experience.
    • Experience in newsroom and/or companies that specialize in content creation desirable.
    • Experience with Human Resources support, labor law, recruiting and best practices related to hiring and onboarding
    • Proficiency with Google Suite
    • Ability to coordinate multiple responsibilities and competing priorities.
    • Spanish or other widely spoken regional language
    • Strong interpersonal skills.
