Primary Purpose of the Organizational Unit:

The Division of University Advancement builds and nurtures relationships with loyalty and integrity to promote UNCG’s mission, foster communication, and secure philanthropic support.

Position Summary:

The Events Specialist plays an integral role on the Philanthropic Engagement team working in the University Events department. The position will coordinate and plan dynamic events throughout the year, from fruition to event follow-up, with a focus on University Advancement, Alumni Relations, and Chancellor Led on and off-campus events. The Events Specialist will also consult with other university units on best practices for planning events. Responsibilities include a variety of administrative tasks including budget responsibilities. Willingness to jump in and support all of the team with their events and special projects is an integral part of the role. Must be available to work on weekends and evenings. Note, that this is not a position that allows consistent teleworking.

Minimum Qualifications:

Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications:

Bachelor’s Degree with two years of experience in event planning or a similar field.
Higher education experience is a plus
Graphic design experience a plus
Excellent written and oral communication skills
Superior attention to detail and organizational skills
Demonstrated project management or event management experience.
Ability and willingness to work in a highly collaborative, team setting.

Create Event Experiences

Essential Tasks:

Plan and manage events and experiences that support the mission of University Advancement and the University

Plan, coordinate, and execute all aspects of multi-faceted and complex events, board meetings, and meals from fruition to event follow-up. This includes event purpose, location, category sheets, invitations, guest lists, theme, budget, menu, volunteers, speakers, photography, scripts, contracts, flowers, rentals, audio, program agenda, parking, entertainment, timelines, event follow-up, and all other event logistics.

Demonstrate project management and time management by managing all details within-firm deadlines.

Advise and negotiate with clients on best practices to produce interesting, memorable, creative, and high-quality events.

Keep up to date on event trends.

Understand and communicate the impact of policies, procedures, and laws in event planning ensuring events are feasible and safe.

Key Responsibility:

Information Management

Essential Tasks:

Utilize Banner software and collaborate with Advancement Operations to update and create reports and be a final source of accuracy for reports and data.

Send and track correspondence with clients, speakers, participants, and sponsors/exhibitors.

Maintain records of event aspects, including financial details. Implement efforts to publicize events.

Develop and manage budgets. Anticipate costs and clarify funding sources for events. Maintain records for budget purposes. Monitor event budgets and negotiates contracts with vendors.

Manage rsvp lists, name tags, events phone lines, emails, mailed-in cards, and track event numbers.

Manage various event software and equipment as acquired including Wrike, event check-in software, name tag printers, etc.

Work with the Director of University Events and Senior Assistant Director of Events and Donor Engagement to update policies, and policy manuals, and assist in the preparation of event meetings.
Perform list pulls, mail merges, and enters contact reports.


Proactively provides updates to contact information in Banner by requesting changes through the Advancement Operations teams.
Coordinate and execute a variety of mailings for the office.


Manage budgets for all Philanthropic Engagement teams as needed.

Serve as primary point of contact for the office communicating with campus partners through email, phone, and in-person, providing excellent customer service

Communicate policies, revisions, and initiatives with internal and external audiences

Collaborate with campus partners extensively including Advancement Communications, Alumni Relations, and the Chancellor’s Office.

Assist all Philanthropic Engagement teams as necessary in special projects including University Events, Stewardship, Donor Engagement, Donor Communications, Board Engagement, Commencement, and Community Sponsorships.

Support Commencement as needed
