Title: Assistant to Executive Director

General Summary

The mission of Campus Recreation is to enhance the quality of life of our unique members by educating and encouraging active participation in recreational opportunities that develop leadership skills, foster social interaction, and reinforce healthy behaviors. The Assistant to the Executive Director works directly with the Executive Director to provide high-level management support to all of the areas of Campus Recreation operations personnel, planning, communication and special projects. The incumbent will work with both internal and external constituencies representing the Department and the Executive Director and lead the Administrative operations of the department. The incumbent must work independently to review and develop processes and procedures and produce research and reports as needed in support of the department, the Division of Student Affairs and the University as requested.

Required Qualifications

1. Bachelor's degree or equivalent degree in Business Administration or a related field.
2. Three years of professional level work experience in administration activities (business management, human resources or communication).
3. Demonstrated proficiency in oral/written communication and computer/web applications.
4. Excellent communication skills and ability to effectively communicate with all levels of the university community and the public.
5. Demonstrated ability to perform as a team player.
6. Demonstrated ability to successfully prioritize, coordinate and facilitate multiple projects and deadlines independently and with limited supervision.
7. Demonstrated ability to exercise good judgement and discretion as well as sound decision-making in handling and resolving sensitive and confidential issues.
8. Demonstrated ability to work within established university and State of Illinois guidelines in the administrative area (business management, human resources, or communication)
9. Demonstrated experience training employees and/or volunteers
10. Red Cross Basic certification in Adult CPR/First Aid/ AED or willingness to obtain within six months of hire.
11. Red Cross instructor certification in CPR/First Aid/AED or willingness to obtain within six months of hire.

Desired Qualifications

1. Five years of professional level experience in administration activities (business management, human resources or communication)
2. Ability to perform fiscal functions including budgeting, purchasing, and tracking.
3. Demonstrated experience supervising employees and/or volunteers
4. Demonstrated experience establishing processes, protocols or systems to accomplish department activities within State and University guidelines.
5. Demonstrated experience using WhentoWork scheduling software, Innosoft Fusion, Datatel (Colleague), iPeople, Hiring Manager and other Illinois State University systems.
6. Expert level knowledge, or willingness/ability to develop knowledge of current and future technology-based applications.

Work Hours

Core working hours are 8:00 am to 4:30 pm Monday through Friday, may vary based on department needs.

Functional Expectations

Must be able to complete the following with or without a reasonable accommodation:

2. Ability to conduct or attend meetings in various locations across campus.
3. Remain at a workstation for extended periods
4. Move about in various locations across campus as needed to complete day-to-day work.
5. Distinguish colors on a monitor. Required to have close visual acuity to perform activities such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small objects.
