invites applications for an Administrative Assistant III. This position serves as the university liaison between UCCS and Army ROTC. Under limited supervision, position includes project management and special event coordination, recruitment and cadet retention support, purchase, and travel card management; program budget management, marketing and social media updating, cadet support, and outreach and fundraising responsibilities. Liaison between UCCS and Army ROTCProject/Special Event Management
Interacts with and has knowledge of campus departments, procedures, systems, and regulations to facilitate decision-making and advisement of Military Science team and cadets.Routinely coordinate with other campus elements external to the department to maintain open lines of communication and good visibility for the department on campus to include coordination with student clubs, LAS and other colleges, and alumni. Department has students spread across every college on campus. Individual contributor to collaborative problem-solving team in bi-weekly command and staff meetings, and weekly cadet-driven meetings.Fiscal and Budgetary Management
Maintains purchase and travel cards according to state and university spending guidelines. Creates and maintains department university budget on a weekly, monthly, and yearly basis. Create projection reports for budget monitoring. Tracks and manages student funds, and any related tax reporting. Provides guidance and oversight to cadets on fiscal matters. Approves and processes office and travel-related expenses for departmental accounts.Marketing, Recruiting, and Social Media Management
Maintenance and oversight of departmental website, social media outlets, departmental brochure, and assists with constituent/alumni newsletters. Facilitates recruiting operations of current high school and college students to recruit as potential new cadets to the UCCS ROTC program.Military Systems Access and Document AnalysisAccess and interpret military-related documents to facilitate military human resource processing of cadets. Requires knowledge of military structure and security clearance to access Cadet Command systems.
Coordinates, oversees, budgets and expenses high-visibility annual events, to include military ball, dining in, and commissioning and awards ceremonies. Assists in the coordination of any other departmental events as needed.Program Outreach and Fundraising
Assists in outreach initiatives with organizations such as Colorado Springs Olympic City USA, Colorado Springs Switchbacks, Colorado Springs Sky Sox, and Colorado Sports Corps. Works with University of Advancement, alumni, and local organizations to secure possible donations, grants and endowments for the department.Office Administration
Establishes workflow processes, and designs and implements office administrative procedures, record-keeping systems, and operational standards. Executes timely and accurate completion of documents and information for communication with internal and external constituents. Duties also include administrative support to the department head, including maintaining his calendar. Administrative support and project management provided to Military Science department personnel as needed. Facilitates university onboarding and departure of cadre/instructors and staff.Candidates must understand and comply with the following:
