Primary Purpose of Position:

The Office of Research Services (ORS) is the campus shared-services office for pre- and post-award administration, including proposal development and submissions, award acceptance, contract negotiation, subaward and award management and modification, and reporting. ORS organizes and gives strategic direction to the research program, manages the institutional signature process for the Authorized Organizational Representatives (AORs), provides faculty/staff/student support by reviewing and interpreting sponsor guidelines and regulations, prepares budget documents, reviews proposal packages for conformity to sponsor requirements, and submits and tracking proposals. ORS is also responsible for ensuring that funded projects are carried out in a manner consistent with the university and sponsor policies and procedures. ORS, in collaboration with other offices and units in Research and Economic Development, initiates and facilitates training opportunities for campus research administration staff.

Under the direction of the Director of Research Services, this position has primary responsibility for the effective and efficient intake and tracking of research inquiries and requests for service from internal and external stakeholders, as well as for follow up to ensure coordinated and timely response by the appropriate ORS, RED, or University staff. The Research Support Coordinator engages with faculty and staff to support the University’s research mission. They work closely with department, college and other unit-level staff, as well as with University level offices to ensure the highest quality support and guidance. They exhibit excellence in facilitating research, scholarship, and creative activity and maintaining the highest standards of customer service.

Minimum Education/Experience:

Required Minimum Qualifications:

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

University Preferred Qualifications:

Graduation from a four year college or university and at least three years of program associate experience; or an equivalent combination of training and experience.

Essential Job Duties:

Under the direction of the Director of Research Services, this position has primary responsibility for the effective and efficient intake and tracking of research inquiries and requests for service from internal and external stakeholders, as well as for follow up to ensure coordinated and timely response by the appropriate ORS, RED, or University staff. The Research Support Coordinator engages with faculty and staff to support the University’s research mission. They work closely with department, college and other unit-level staff, as well as with University level offices to ensure the highest quality support and guidance. They exhibit excellence in facilitating research, scholarship, and creative activity and maintaining the highest standards of customer service.

Monitor and track, on a daily basis, requests for services and assistance using a variety of research administration systems and email accounts and ensure all inquiries and requests are appropriately logged and routed to relevant staff and units. Note and track progress of inquiries and requests using ORS and RED via tracking systems. Forward tasks and requests with clear pathways to the responsible parties and work with the Director of Research Services and Associate Directors for Award Management, Contracting, and Proposal Development to determine the appropriate pathways for all others. Assist with the regular and ongoing updating and maintenance of the ORS website, emails addresses, Google groups, newsletters, and other forms of communication regarding research support and resources. Assist with reporting, and with determining proposed changes in procedures.
Directly provide answers to stakeholder questions and frequently asked questions. Follow up on all requests and inquiries at assigned intervals to ensure they are being addressed in a timely manner. Communicate the status of the request to the requestor in a timely, regular, and professional manner, or ensure that the person handling the request is doing the same. Lead and/or facilitate communication between multiple offices in RED and or across campus as needed to get questions answered and keep necessary processes and procedures moving forward towards resolution. Participate in and support internal and external meetings and committees, as assigned. Provide consistently excellent customer service.

Departmental Preferred Experience, Skills, Training/Education:

  • Bachelor’s degree in a related field.
  • Knowledge of and familiarity with database, spreadsheet, and project management systems and software.
  • Basic knowledge of federal uniform guidance cost principles and regulations governing grants, contracts, cooperative agreements, sub-awards/subcontracts.
  • Superior communication and customer service skills.
  • Demonstrated knowledge and expertise with project management and project management software systems.
  • Innovative problem-solving skills;
  • Ability to manage, coordinate and prioritize multiple projects/tasks simultaneously;
  • Ability to work with diverse teams; demonstrated commitment to customer service and experience with approaches to continual process improvement;
  • Ability and aptitude for learning changing technologies related to grants and contracts management;
  • Ability to communicate both verbally and in writing with all levels of the organization.
