Department

The Division of Student Affairs Department of Student Engagement is seeking a dependable, organized, and collaborative professional to fill its Administrative Associate position in the Office of Student Organizations and Involvement. This position oversees the daily operations and customer service for the Student Organizations & Involvement area. This position includes hiring and supervising OPS and Work Study student staff, assisting with the student organization recognition process, maintaining appropriate records, and liaising with campus departments including ITS and Facilities.

Responsibilities Provide daily leadership, supervision, staff development, and evaluations for Student Assistants. Conduct the interview, selection, training and scheduling process for Student Assistants. Assure that Student Assistant timesheets are completed accurately and are approved by payroll deadlines. Provide exemplary customer service for all individuals in contact with the Student Organizations & Involvement area. Communicate any outstanding needs with appropriate staff members in a timely manner. Assist with the semesterly student organization recognition process. Interpret and assure that university policies and procedures are followed by students and student organizations.

Liaison with IT, maintenance, and other departments as necessary to maintain a comfortable working environment for Student Engagement staff. Maintain appropriate records, supplies, and equipment for Student Engagement. Serve as backup for human resources and payroll processes, including payroll preparation or certification, time and leave entry/tracking, appointment paperwork, purchasing, and travel authorizations. Manage departmental supplies and inventory. Effectively communicate within the Student Engagement department as well as with campus and community partners. Attend Student Organizations & Involvement and Student Engagement staff meetings and professional development opportunities through the department, division, and university. Support major departmental and divisional initiatives including assisting with event preparations, set-up, and support.

Work in conjunction with Program Director of Student Organizations & Involvement to manage and maintain appropriate office files and budget records. Demonstrate fiscal responsibility when utilizing appropriate department funding for supplies and staff development. Ensure university policies and procedures are followed for any spending.

Qualifications

High School diploma or equivalency and three years experience; or a combination of post high school education and experience equal to three years.

    Ability to demonstrate effective customer service skills.Ability to perform basic mathematical calculations.Knowledge of office practices, procedures, and etiquette.Knowledge of applicable computer applications, including Microsoft Office Suite (Excel and Outlook).
